I am looking for a recent graduate or someone who loves administration, is really organised and keen to work within the firm's library team. The firm is a well-established US law firm and the hours are 9.30am-5.30pm working four days in the office and one from home. The firm is looking for candidates who are well organised and can work on their own initiative.
Main Responsibilities
- Data & Research Resource Management
- On-boarding new joiners; processing leavers, secondees, returners from parental leave
- Managing online resources including passwords & user lists
- Maintaining departmental processes regarding on-boarding
- Assisting with the ongoing improvement of internal processes and procedures utilising relevant tools
- Database Maintenance
- Troubleshooting user issues with resource logins and access
- Supporting the password management system - creating new resources, entering user details, troubleshooting problems and running reports
- Maintaining departmental portal pages
- Supporting and maintaining the library management system – keeping records accurate and standardised, creating new records, archiving old subscription records
- Acquisitions & Financial Management
- Ordering, cataloguing and recording new acquisitions
- Collating and processing invoices and monthly Barclaycard statement using Emburse, our accounts system
- Monitoring ongoing subscriptions
- Troubleshooting and resolving vendor/publisher problems
- Operational Support
- Performing administrative duties such as shelving, circulation, stock-taking, resource weeding across a number of departmental libraries
- Updating looseleaf titles
- Research & Current Awareness
- Answering basic enquiries from across the firm – e.g. Company searches (domestic and international)
- Fulfilling book and article requests
- Miscellaneous
- Undertaking discrete information or resource related projects as required
