We are seeking a highly organized and reliable Part‑Time Administrative Assistant to support our Finance team. This role focuses on document coordination and general administrative support within the department.

Key Responsibilities

  • Collect mail and distribute to the appropriate Finance contacts.
  • Assist with the review and transition of hard‑copy documentation to digital formats to support departmental digitization efforts.
  • Coordinate the internal signing and external mailing of Acts of Acceptance monthly/quarterly.
  • Process Certificates of Residence for CIS and Latin America.
  • Raise purchase orders and applicable receipts on SAP for department supplier invoices.
  • Print and collate documents for couriers/signatures.
  • Manage ad‑hoc administrative tasks as assigned by the local Finance teams to ensure smooth department operations.

Qualifications

  • Proven experience in an administrative or office support role, preferably within a finance or corporate environment (1‑3 years).
  • Exceptional organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel) and the Google Suite (Gmail, Drive, Sheets, Docs).
  • SAP experience not required but a plus.
  • Ability to handle confidential information professionally.
  • Must be reliable and able to work independently with minimal supervision.

Schedule

Part‑time position. Normal working days: Tuesday through Thursday, 9:00AM to 3:00PM. Monthly, the candidate may need to work on the 1st and/or 2nd of the month for Act of Acceptance and Certificate of Residence processing and mailing.
