Core Responsibilities

Constantly monitor each diary to eliminate conflicts and manage complex, multi‑timezone schedules. Build in buffer zones for travel, reading, and thinking; schedule pre‑meetings, prepare presentations and internal briefings; monitor and pull actionable items from inboxes and hold status updates, actions and “to do” reminders.
  • Execution & Continuity – Execute all requests instantly, especially diary availability for senior stakeholders, and allocate meeting rooms at invitation time.
  • Communication Support – Work with the SVPs’ direct reports, internal teams and external contacts. Draft emails with a professional yet friendly tone and phrase sensitive communications with confidence.
  • Weekly Coordination – Meet weekly with each SVP to cover schedule, workload, reminders and future travel; meet weekly with the Lead EA to confirm deadlines and priorities. Use Google Chat for real‑time priority shifts and provide a weekly round‑up confirming travel, logistics and diary updates.
  • Travel & Expense Management – Plan end‑to‑end travel itineraries, including visas, flights, trains, cars and accommodation. Anticipate disruptions, manage expense processing via Concur with meticulous accuracy, and ensure all spend aligns with company policy.
  • General Business Support – Cover the Lead EA during absences; assist with yearly off‑site sales events; maintain accurate and up‑to‑date organ charts and distribution lists; handle sensitive and confidential information with a “C‑Suite” standard of output.
