About Legal 500

Legal 500 was founded by John Pritchard in 1987 as the original clients’ guide to law firms, the first of its kind. It is now a data-driven, AI-optimised research platform which benchmarks, informs and connects providers and users of legal services in over 100 countries worldwide. Our research and data are trusted and relied upon by corporate clients globally as an essential part of the process, both of instructing law firms with new mandates, and when reviewing existing mandates or panels. We exist to empower both buyers and sellers in the international legal marketplace to make better decisions and have improved outcomes for their organisations.

About the Role

We are seeking a proactive Maintenance & Facilities Assistant to support the smooth day-to-day running of our London office. This role is ideal for someone hands-on, organised, and adaptable; someone who takes pride in maintaining a high standard of workplace presentation and safety. You’ll work closely with the Facilities Manager to ensure the office and building facilities are maintained to the highest standards, carrying out routine checks, coordinating repairs, and assisting with general office operations. The role will involve both independent work and collaboration with contractors and internal teams.

Key Responsibilities

  • Carry out daily inspections of office areas, ensuring all spaces are tidy, functional, and compliant with health & safety standards.
  • Respond promptly to maintenance requests and escalate issues where necessary.
  • Support with office moves, desk setups, deliveries, and general logistics.
  • Coordinate with external contractors and suppliers for maintenance and repair works.
  • Conduct basic repairs and minor installations (e.g., replacing bulbs, assembling furniture, adjusting fittings).
  • Maintain accurate records of maintenance schedules and building compliance checks.
  • Ensure security systems, fire alarms, and emergency equipment are tested and functioning correctly.
  • Assist with setting up meeting rooms, company events, and other ad-hoc operational tasks.

What we’re looking for

  • You’ll be practical, dependable, and approachable, with an eye for detail and a “can-do” attitude.
  • You’re comfortable working in a fast-paced environment and can manage multiple priorities while ensuring a clean, safe, and professional workspace.
  • Previous experience in a similar facilities or maintenance role (office, hospitality, or corporate environment preferred).
  • Basic knowledge of health & safety regulations and building maintenance procedures.
  • Excellent communication and organisational skills.
  • Strong problem-solving ability and initiative to act independently.
  • Ability to prioritise workload and respond quickly to urgent issues.
  • Reliable and punctual with a strong sense of responsibility and teamwork.
  • Competent in using basic tools and handling light repairs.
  • Flexibility to work occasional evenings or weekends if required.

Must have qualifications (in at least one listed below)

  • Level 2 or above qualification in Facilities Services / Building Maintenance / Multi-Trade Repair / Plumbing / Carpentry and Joinery / Refurbishment Operations.

Not required but nice to have;

  • Health & Safety, Fire Safety, or First Aid training certification.

Working arrangements

Flexibility is key for us; while core hours are 10:00am to 6:00pm, occasional out-of-hours or weekend support may be required to meet operational needs. 5 days a week, onsite at our office on Fleet Street, London.
