This is a 6 month FTC, working 21 hours a week, which can be flexible and will be discussed at interview.

PURPOSE OF THE JOB

The Subject Access Request Assistant supports the end-to-end handling of subject access requests by helping to identify, compile, review, redact and finalise information for disclosure. The role requires strong organisational skills, attention to detail, discretion, and an understanding of confidentiality and data protection obligations. Working closely with colleagues across the business, the postholder will help ensure requests are processed accurately, consistently, and within applicable deadlines.

DUTIES AND RESPONSIBILITIES

  • Assist with the receipt, logging and tracking of subject access requests and related correspondence.
  • Help identify, collect and organise relevant records from electronic systems, email accounts, shared drives and paper files.
  • Prepare document sets for review by checking completeness, formatting and file organisation.
  • Carry out redactions of third-party data and other information requiring protection, in line with internal procedures and applicable data protection requirements.
  • Support the review and quality checking of disclosure packs to ensure accuracy, consistency and readiness for issue.
  • Draft routine correspondence, acknowledgements and update communications for requesters and internal stakeholders.
  • Maintain accurate audit trails, trackers and case records to evidence actions taken and progress against deadlines.
  • Liaise with internal teams to obtain documents, clarify searches and follow up on outstanding information.
  • Escalate complex, sensitive or potentially exempt material to the appropriate reviewer or manager.
  • Handle all personal and sensitive information with a high degree of confidentiality and professionalism.
  • Contribute to continuous improvement of templates, processes and guidance for subject access request handling.
  • Assist with other duties and responsibilities as necessary to support the wider business.

SKILLS, EXPERIENCE & QUALIFICATIONS

  • Experience in an administrative, compliance, legal, HR, information governance or records management role.
  • Excellent attention to detail and the ability to review documents carefully and accurately.
  • Strong organisational skills, with the ability to manage competing priorities and work to deadlines.
  • Good written and verbal communication skills.
  • Ability to handle confidential and sensitive information appropriately.
  • Confidence using Microsoft Office applications and working with electronic document systems.
  • Understanding of data protection, confidentiality and information handling principles.
  • Ability to follow procedures consistently while recognising when to escalate issues.
  • Experience of document review, collation or redaction is desirable.
  • Knowledge of subject access requests, UK GDPR and the Data Protection Act 2018 is desirable.

The postholder will be expected to work in line with internal policies, data protection requirements and confidentiality obligations at all times. They should demonstrate sound judgment, maintain accurate records, and support a timely, consistent and legally compliant approach to subject access request handling.
