The Opportunity
This is a part time role, 15 hours a week over 5 days, on a 12 month FTC basis. As Office Coordinator, you will deliver an outstanding front of house service as well as providing a wide range of administrative support to the Luton Hub and the wider business. As a member of this busy and active team, you will provide a warm welcome to visitors and employees, ensuring accurate safety registration and always maintaining a positive and approachable demeanour. You will be an integral part of a ‘go-to hub’, dealing with a variety of queries and ensuring top class service throughout. You will be the first point of call for anything Luton Hub related and if you can’t help personally, you’ll know exactly who can!

Key responsibilities
As well as upholding an efficient reception area, you will be utilising your excellent administration skills to support the overall smooth operation of the Luton Hub and our other office and hub facilities, as well as providing invaluable support to the wider team, including but not limited to:

  • Receiving and distribution of both incoming post
  • Overseeing the overall operation of the building including general facilities, catering and refreshments, cleaning standards and stationery supplies
  • Supporting with the operation of hub facilities including answering user queries, replenishing stationery and refreshment supplies etc
  • Fielding and responding to general website enquiries
  • Administration and communication of tenancy changes to local Councils
  • Fulfilling a Fire Warden and First Aid role in line with legal requirements
  • Other ad-hoc administration duties as required

About You
You thrive in a busy and active environment and with the ability to multitask. You have proven experience working in a reception environment. You are a real people person and are passionate about providing excellent customer service. You have proven experience within an administrative role and have the ability to prioritise a heavy and varied workload, whilst working at pace. You are proficient in letter writing and have exceptional attention to detail. You love being part of a team and have great communication skills.
