Location: Stirling Ackroyd Byfleet HQ
Salary: From £25,000 to £26,000.00 per annum
Hours: Monday to Friday from 8:30am to 5:30pm, hybrid working available once probation has been passed successfully.
Contract: Fixed Term Maternity Cover for 12 months - a permanent position may be considered in the future, however we cannot guarantee at this stage.

Job Summary and Key Responsibilities:
- To provide remote administrative support to the branch network, working closely with branch teams and different departments at head office to ensure compliance and accuracy.
- Duties will include:
- Monitoring the sales and lettings BC hub inboxes and Reapit tasks, generating and sending out emails as necessary.
- Sending out agency agreements and links for ID checks, carrying out ownership checks to ensure compliance with AML legislation.
- Booking photos, floorplans, and EPCs, following up to ensure appointments are booked.
- Checking all relevant and compliance documentation is in place for any new instructions and chasing accordingly.
- Sending out instruction emails and T&Cs (lettings) and checking for compliance certificates.
- Checking fee, instruction date, manager, branch, and other relevant information on Reapit.
- Uploading photos, floorplans, and speed tours onto the property record.
- Checking quality of Reapit data; quality of photographs, descriptions, bullet points before properties commence marketing.
- Producing property brochures and window cards and ordering through premcom on instruction and price reduction.
- Ordering boards via Xpress signs and updating Reapit accordingly.
- Ensuring all board management processes are upheld.
- Checking on missing EPCs for all available properties and adding from EPC register where possible.
- Managing all EPC orders for sales and lettings.
- Regularly checking and chasing any outstanding compliance.
- Producing and sending out sales memorandums and ensuring all compliance documents are obtained before being sent to Sales Progression when a sale is agreed.
- Generating invoices on exchange of sale and sending to solicitor with exchange emails.
- Completing floorplans via Metropix on receipt of a scanned hand-drawn floorplan from the branch.
- Creating portal activity click rate reports weekly and sending to vendors as part of the weekly vendor management.
- Assisting with the Sales and Lettings monthly market share report as needed.
- Checking the marketing material that the branches have ordered before authorising.
- Updating featured properties and ensuring the branches are using these to their full potential.
- Managing all unsubscribes that come through applicants on the database.
- Regularly visiting the branches to promote a one-team message and offer administrative support.
- Handling the incoming and outgoing post for Head office.
- Supporting the maintenance of head office.
- Answering the ‘reception’ phone and directing calls as necessary.
- Monitoring, promoting, and helping maintain standards.
- Following an awareness and carrying a shared responsibility for health and safety.
- Carrying out any other tasks or projects as deemed appropriate within the main purpose of the role.
