Back Office Assistant – to join our Sales team based in Stansted (UK), assisting all Area Sales Managers for handling orders, ensuring accurate pricing, timing, and other details.

Accountability & Objectives

Back Office Assistant provides essential administrative and operational support to the salesmen, ensuring smooth execution of sales processes, order management, and customer communication. This role is crucial in maintaining accurate documentation, coordinating internal departments, and improving efficiency in managing accounts.

Key Responsibilities
  • An essential part of the sales team, supporting regional sales managers across the UK, handling orders, ensuring accuracy in pricing, quantities, and delivery schedules.
  • Process customer orders in the system and coordinate with logistics to ensure timely shipments.
  • Monitor stock availability and communicate with supply chain teams to avoid shortages.
Customer Support & Coordination
  • Act as a liaison between customers and internal teams (logistics, finance, and sales).
  • Provide order status updates and resolve basic customer inquiries related to deliveries, product availability and support, using your product knowledge to support alternative machines when required.
  • Assist in managing customer claims, returns, and credit notes in coordination with relevant departments.
Administrative & Backoffice Support
  • Ensure accurate documentation of contracts, agreements, and promotional activities.
  • Coordinate with finance on invoice management, payment tracking, and credit control.

Always operate according to Group culture, values, rules and procedures.

Skills & Qualifications

Experience
Minimum 2 years of experience in sales support or back-office roles.

Qualifications
GCSE in Mathematics and English is needed. A university degree is a plus.

Knowledge
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and ERP/CRM systems. Knowledge of order processing and inventory management systems.

Languages
English mother tongue. An additional language is a plus.

Mindset & Interpersonal skills
Capability in dealing with complexity in a multinational environment is needed. Capability to promote team-working and collaboration among the different functions both at local and Group level is highly recommended. An attitude to measure performances by KPIs is highly recommended. A “hands-on” approach together with a high commitment in respecting working deadlines are highly appreciated. A good understanding of main company processes is appreciated. Business judgment and curiosity are required. Good communication skills with all levels of the organization are required.
