Join our friendly and supportive Private Client team as an Administrative Assistant. This is an exciting opportunity for a motivated and detail-focused individual to play a key role in supporting our secretaries and lawyers. You'll work closely with experienced professionals, develop valuable skills, and contribute to delivering an excellent service to our clients within a collaborative and welcoming environment.

About the Team

Our Private Client team is made up of four partners, 19 lawyers/fee earners, 3 secretaries and an administrative assistant. We specialise in delivering high-quality legal services. As an Admin Assistant, you’ll play a key role in supporting the team’s day-to-day operations and ensuring everything runs efficiently behind the scenes.

Responsibilities

  • Managing file systems: archiving, e-filing
  • Scanning and photocopying confidential documents
  • Assisting with file opening, including inputting party details and producing engagement letters
  • Processing incoming and outgoing post, including collation of enclosures
  • Booking couriers and handling document distribution
  • Supporting billing processes: generating reports, billing guides, and tracking invoices
  • Assisting with document archiving (e.g., Wills, Deeds)
  • Learning and using internal systems such as iManage, 3E, Intapp, NBI, Nintex, and Kofax PDF
  • Identifying opportunities to improve administrative processes and enhance the efficiency of team workflows
  • Supporting the implementation and adoption of new technologies, systems and ways of working
  • Using AI-powered and digital tools, where appropriate, to improve productivity, accuracy and service delivery
  • Assisting with innovation and continuous improvement projects across the team and wider firm
  • Demonstrating a positive and proactive approach to change, embracing new processes and technologies as they are introduced
  • Contributing ideas and feedback to help drive operational excellence and improve the client and colleague experience
  • Any other admin tasks that support the smooth running of the team

Qualifications

  • Eager to learn and willing to take initiative
  • Highly organised with excellent attention to detail
  • Process-driven, with the ability to use AI/tech to improve procedures and be able to demonstrate an enthusiasm for innovation
  • Confident using Microsoft Office, especially Excel (basic formulas, formatting, ribbon tools)
  • A strong communicator with good interpersonal skills
  • Reliable and self-motivated, with a flexible work ethic
  • Comfortable working in a busy office environment and seeking out tasks to support the team

Experience

  • Min of Five GCSEs (or equivalent) A*-C, including Maths and English
  • Some administrative experience (through work experience, apprenticeship, or placement)
  • Intermediate knowledge of Microsoft Outlook, Word, Excel, and PowerPoint
  • Excellent English and grammar
  • Ability to learn new systems and processes
  • Experience of using AI tools in previous roles
