Position Overview

Provide dedicated Executive Assistant support to two SRE EMEA Partners in their oversight of SRE’s investment and business activities across Europe. In addition, this role carries responsibility for the coordination, oversight, and day‑to‑day management of the London SRE Administrative Team, ensuring consistency of standards, smooth team operations, and effective execution of team‑wide initiatives and events.

Essential Job Functions

  • Coverage: Two SRE EMEA Partners
    • Manage complex diaries across multiple time zones, coordinate internal/external meetings, and anticipate priorities.
    • Resolve scheduling conflicts, confirm approvals for external engagements, and prepare materials for key meetings.
    • Coordinate travel, including researching options, liaising with travel agents, preparing itineraries, and ensuring compliance with visas and passports.
    • Oversee expenses, track submissions in Concur, manage receipts, and support the full reimbursement lifecycle.
  • London SRE Administrative Team Oversight
    • Lead and coordinate the London SRE Admin Team, promoting alignment on administrative standards and best practices.
    • Act as liaison between the Partners and the admin team, providing guidance on prioritization, workload distribution, and coverage planning during absences.
    • Support coordination of team‑wide initiatives, including weekly calls, agendas, materials, and follow‑ups.
    • Manage logistics for team events and off‑sites, including summer and holiday activities.
  • Team Calls, Agendas & Coordination
    • Schedule and manage weekly SRE team calls, preparing agendas, distributing materials, tracking action items, and ensuring deadlines are met.
    • Organize regular check‑ins with senior leaders to align on team priorities and operational matters.
  • Ad Hoc & Operational Support
    • React quickly to urgent or unexpected matters.
    • Support broader SRE operational initiatives and process improvements as needed.
  • Front‑of‑House & Shared Services Collaboration
    • Partner with the Shared Services Admin team to ensure smooth front‑of‑house operations.
    • Welcome guests, manage meeting logistics, coordinate catering and presentation materials, and provide general administrative support.

Required Knowledge, Skills & Abilities

  • Minimum 10 years’ experience supporting senior teams.
  • Experience managing both executive coverage and team‑level coordination.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication.
  • Ability to multitask and prioritize effectively.
  • High discretion with confidential matters.
  • Advanced proficiency in Outlook and Microsoft Office.
