Position Overview
The Administrative Assistant of StepStone Group will provide essential administrative support mainly to the Business Development team, while also providing administrative support to another smaller team(s). The role includes supporting executives and teams, helping ensure smooth daily operations in a fast‑paced financial environment. The Administrative Assistant should demonstrate strong attention to detail, work independently and collaboratively, manage time efficiently, communicate clearly, and understand colleagues’ needs. The Administrative Assistant will work with both appointed executives and assist the General Administrative team on an as‑needed basis.
Responsibilities
- Monitor heavy and fluctuating calendars, high volume of e‑mails, and flow of communication.
- Compose, draft, proof, edit, and finalize correspondence including e‑mail and other documents.
- Track executives’ meetings and necessary follow‑ups.
- Familiarity with StepStone Group’s policies as outlined in the handbook and online, including but not limited to travel, personal stock, IT, and record retention.
- Handle planning logistics for domestic and international trips using the firm’s contracted travel agency; provide detailed itineraries, agendas, directions, visas, and passport renewals.
- Support activities related to roadshows, events and AGMs, including coordination and logistical support.
- Prepare expense reports in a timely manner ensuring accuracy and submitting in accordance with firm policy.
- Monitor executives’ calendars and anticipate where problems might arise regarding preparation, needs of executives involved, requests for meetings; communicate potential and/or confirmed changes to parties involved immediately.
- Schedule and coordinate complex meetings and executive events requiring detailed logistics handling and problem solving; inform attendees of dates and times, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality services as needed, and assist with various StepStone Group off‑site meetings as requested in an upbeat and professional manner.
- Contribute to a positive and productive work environment by supporting colleagues and assisting with team projects as needed.
- Act in a discreet and professional manner with others; show sensitivity to the confidential nature of the firm’s business and consistently uphold such confidences and use this information only in the course of performing your job.
- Act as a team player, including taking on additional tasks to support colleagues and the firm, offering help before being asked, and giving credit where credit is due.
- Contribute your talents and efforts to a productive, pleasant, and safe working environment.
- Assist StepStone Group guests with general office support and reservations (travel, dinner, and local transportation, etc.).
Requirements
- A minimum of 3–5 years’ professional experience; college degree preferred.
- Ability to manage highly sensitive, confidential information with complete discretion.
- Demonstrates good judgement; skilled at developing and maintaining relationships representing StepStone Group in a professional manner.
- Ability to manage multiple tasks and prioritize effectively in a fast‑paced environment.
- Strong attention to detail.
- Sense of urgency; ability to work in a fast‑paced, dynamic environment and flexible attitude when responding to changes.
- Self‑motivated; proactively identify areas for improvement to better streamline team workflow; can think ‘outside of the box.’
