Position Purpose:
The PMO Lead is responsible for establishing and managing the Programme Management Office (PMO) for complex, high-value programmes. This includes leading the setup and day-to-day operation of PMO processes, ensuring governance, consistency, and quality in project delivery. Working closely with project managers, account executives, and senior stakeholders, the PMO Lead drives operational excellence and supports program and project success through efficient planning, reporting, and communication.
Key Responsibilities:
Program and PMO Management:
- Establish and manage the Programme Office, ensuring alignment with Step5’s methodologies and client-specific requirements.
- Develop and implement terms of reference for the Account/Portfolio/Programme Office.
- Ensure robust processes are in place for document management, risk and issue management, schedule management, and change management.
- Lead program cadence activities, including governance, scheduling and facilitating regular meetings, programme/project reviews, and progress updates.
- Drives the implementation of tooling to automate P3M/O activities
Governance and Reporting:
- Drives the automation of reporting, based on project artifacts to enable early identification of projects deviating from baseline early leading to lower cost remedial actions.
- Implement and maintain project, program, and portfolio data driven reporting in line with corporate and contractual requirements.
- Provide consolidated performance reports and analysis, including task status, milestones, financials, and risks.
- Ensure data quality and consistency for all portfolio, program, and project documentation.
- Facilitate the Project Review process, including initiation, execution, and closure reviews, while tracking actions and progress.
Financial and Resource Management:
- Oversee financial reporting, including day-to-day budget monitoring and variance analysis.
- Track and manage resource allocation, ensuring alignment with project needs and program priorities.
- Identify cost-saving opportunities through process optimization and resource planning.
Communication and Change Management:
- Manage communication channels with stakeholders, ensuring transparency and collaboration.
- Act as a liaison between the PMO team and client project management systems, ensuring seamless integration and operation.
- Support the Programme Lead with change management strategies and implementation.
Leadership and Support:
- Advise program/project managers on best practices, methodologies, and tools.
- Build and maintain a collaboration platform for the program, using tools like MS Teams or SharePoint.
- Champion continuous improvement within the PMO, identifying opportunities to enhance processes and tools.
- Can stabilise and document repeatable process for delivery by other team members.
- Leads and guides junior members of the team including 2nd year graduates.
Working Relationships:
- Collaborate with customers, including third-party vendors and stakeholders.
- Interface with Step5 Leadership, and client account executives, and transformation teams.
- Build effective relationships across global, cross-functional teams.
Required Qualifications and Skills:
Education and Experience:
- Bachelor\’s degree in business administration, information technology, or related field (preferred).
- 5+ years of experience in IT, with 4–7 years in Project/Program Management or PMO roles.
- Proven experience with project management methodologies, processes, and tools.
- Certifications such as PMP, PMQ, PRINCE2, or ITIL Foundation (preferred).
Technical Skills:
- Applied knowledge of global project management methodologies (e.g., PMI), ITIL, and IT Service Management (ITSM).
- Proficiency in MS Office, MS Teams, and tools like MS Project.
- Familiarity with risk and issue management frameworks and tools.
Soft Skills:
- Strong communication skills, with the ability to influence and engage stakeholders.
- Leadership skills, including critical thinking, relationship management, and team collaboration.
- Problem-solving capabilities, with a structured and logical approach.
- Adaptability and a proactive, \”can-do\” attitude.
Desirable Skills:
- Experience with portfolio and project management software (e.g., PPMA, PPMC, Primavera, Hubspot).
