Reporting to the Workplace Experience & Facilities Manager, the Receptionist will be the first point of contact for visitors and callers of our Global Head Office located in London.
Mission
- Welcome visitors to the office, notifying hosts of their arrival and issuing access passes for them where appropriate.
- Answer and direct calls in a prompt and professional manner.
- Monitor shared email inbox, answering queries and redirecting to appropriate stakeholders.
- Coordinate meeting room bookings and assist with set‑up and clean‑up when required.
- Carry out daily walkthroughs of the building to ensure standards are maintained, both by staff and service providers.
- Own the management and organisation of the postroom, ensuring packages are scanned in and sorted correctly.
- Book outgoing couriers, ensuring parcels are sent out efficiently with the correct documentation.
- Answer general employee queries, directing them appropriately.
- Assist in weekly fire alarm tests.
- Assist with the set up of company events held on the premises, including set‑up, take‑down and organising deliveries and collections.
- Issue access cards, maintaining the system on a monthly basis.
- Respond to heating and air conditioning requests.
- Assist with various administrative tasks.
Qualifications
- Flexible with a hands‑on work ethic.
- Computer literate, including excellent knowledge of Microsoft packages (Word, Excel & PowerPoint).
- Previous experience in a people‑facing role within a fast‑paced business.
- A good communicator with the ability to interface regularly with internal and external personnel at all levels.
- Ability to be discrete, confidential and reliable.
- A self‑starter who actively looks for potential improvements and is proactive in finding solutions.
