Reporting to the Office Manager, our Reception team are the first point of contact for all clients, visitors & VIPs to the Stella McCartney Global Head Office located in London. The Receptionist will be responsible for creating a welcoming first impression to all guests of our Global Head Office, maintaining the highest level of professionalism at all times. The Receptionist will be responsible for all front-desk management, alongside assisting the Workplace team with day-to-day administration and support for maintenance, health & safety, and security.
Receptionist Duties
- Warmly welcome visitors, staff, suppliers, and VIP guests, ensuring a professional first impression;
- Manage incoming calls and emails, directing inquiries to the appropriate departments;
- Schedule appointments and meetings for all office staff and external guests on request;
- Maintain an updated log of all visitors and appointments;
- Manage data entry, document filing, and maintenance of records, schedules and appointments;
- Prepare reports, invoices, and correspondence as needed;
- Organise internal and external meetings, preparing meeting rooms and arranging consumables and necessary equipment requested;
- Issue access cards, maintaining the system on a monthly basis.
Deliveries & Shipments Processing
- Coordinate and process incoming and outgoing deliveries, ensuring accuracy in tracking;
- Handle both domestic and international shipments, including customs documentation if required;
- Manage courier services, tracking deliveries, and resolving any issues with shipping providers;
- Organise and distribute deliveries to the relevant teams;
- Conduct daily office checks to ensure all spaces are clean, tidy, and well-organised;
- Track all maintenance and office issues, reporting issues in a timely manner to the Office manager;
- Refill consumables such as office supplies, toiletries, cleaning and pantry items;
- Oversee general office upkeep, including organising workspaces, meeting rooms, post room, pantry, equipment room and reception areas;
- Liaise with cleaning and maintenance staff to uphold a pristine office environment;
- Assist with regulating temperature and changing it upon staff requests;
- Assisting with emergency processes in the office;
- Maintenance of health and safety requirements such as First Aid Kits and emergency equipment;
- Assist in weekly fire alarm tests.
Food & Stationery Orders
- Manage catering orders for meetings, events, and VIP guests;
- Maintain stock of office supplies, ensuring stationery, printing materials, and other essentials are replenished;
- Place and track orders for refreshments, snacks, and pantry items;
- Liaise with department staff, and managers to ensure smooth workflow across departments;
- Assist in coordinating schedules for meetings, fittings, photo shoots happening in the office;
- Assist Executive Assistants with support required to deliver necessary events and tasks;
- Support HR or Office Management teams with staff-related queries and the onboarding of new employees;
- Assist with the setup and organization of reception events, Townhalls, workshops, sample sale, Yoga classes, celebrations, meetings, Office parties;
- Coordinate with suppliers and caterers for event-related logistics;
- Welcome and guide guests for events in the office, ensuring a seamless experience.
