We are looking for an experienced and motivated Office Manager to join our team at [Site Location]. This is a key role within the site, responsible for leading and motivating our Customer Service team, ensuring our customers receive an exceptional level of service, and providing vital support to the Site Manager in the effective day-to-day running of the business.
The Role
As Office Manager, you will take ownership of the office and Customer Service function, ensuring that our administrative processes run efficiently and that the team consistently delivers a professional, friendly and customer-focused service.
You will lead by example, motivating and developing the Customer Service team while working closely with the Site Manager and wider site team to achieve operational, financial and customer service objectives.
This is a varied and fast-paced role that requires someone who is organised, commercially aware and confident managing people, processes and priorities.
Key Responsibilities
- Lead, motivate and support the Customer Service team, creating a positive and high-performing working environment.
- Manage the day-to-day activities of the office and Customer Service function, ensuring work is completed accurately and efficiently.
- Deliver a consistently high standard of customer service throughout the customer journey.
- Monitor team performance and provide coaching, guidance and feedback to help colleagues achieve their objectives.
- Support recruitment, induction, training and development of office and Customer Service colleagues.
- Ensure customer communications are handled professionally and promptly, including telephone calls, emails and face-to-face interactions.
- Deal confidently with customer queries, concerns and complaints, resolving issues wherever possible and escalating appropriately when required.
- Ensure administrative processes, records and systems are maintained accurately and in line with company procedures.
- Work closely with the Site Manager to support the effective day-to-day operation and performance of the site.
- Assist the Site Manager with operational administration, reporting, compliance and performance management.
- Monitor workloads and resource requirements within the office, ensuring the team is appropriately organised and prioritised.
- Liaise effectively with customers, insurers, repair partners, suppliers and other stakeholders.
- Ensure company policies, procedures, health and safety requirements and quality standards are followed.
- Support the achievement of site targets, KPIs, customer satisfaction measures and financial objectives.
- Identify opportunities to improve processes, efficiency and the overall customer experience.
- Carry out all other reasonable duties associated with the Office Manager role as required.
About You
We are looking for someone who is a natural leader and enjoys getting the best out of people. You will be confident managing a busy office environment and able to balance customer needs, team priorities and business requirements.
Ideally, you will have:
- Previous experience in an office management, customer service management or similar supervisory/leadership role.
- Experience of leading, motivating and developing a team.
- Excellent communication and interpersonal skills.
- A strong customer service focus and a professional approach.
- Excellent organisation and time-management skills, with the ability to prioritise in a fast-paced environment.
- The confidence to deal with challenging customer situations and resolve problems effectively.
- Good IT and administrative skills, with the ability to work accurately across multiple systems.
- A proactive, positive and hands-on approach.
- Strong attention to detail and the ability to follow processes while identifying opportunities for improvement.
- The ability to work collaboratively with the Site Manager and wider site team.
- Experience within the automotive, accident repair, insurance or bodyshop sector would be advantageous, but is not essential.
