We have an exciting opportunity for a receptionist / administrator to join our friendly and dedicated team at the Kent and Medway Prosthetic Centre in Maidstone. Having recently moved into our brand-new, purpose-built facility, there’s never been a better time to join us. You’ll become part of a welcoming and experienced multidisciplinary team, working in a modern clinical environment where teamwork and patient-centered care are at the heart of everything we do.

A receptionist / administrator provides flexible support to the Kent & Medway Prosthetic team to help meet the needs of patients requiring artificial limbs (prostheses) who have experienced limb loss due to congenital conditions, amputation, or injury, helping them to regain mobility, function, and independence.

The general clerical duties include:

  • Monitoring the reception area
  • Dealing with inquiries face to face and/or on the phone
  • Routine use of our electronic system Meditech
  • Managing patients’ records
  • Organising meetings and events
  • Minutes taking
  • Managing petty cash and stationary supplies

Your Duties and Responsibilities:

  • Have good knowledge of customer care principles and practices
  • Act in a professional manner to colleagues, service users and their families at all times (both face to face and on the phone)
  • Undertake a range of administration processes to meet the needs of the services and support colleagues, daily use of IT systems
  • Welcoming and booking in/out all patients and visitors that attend the centre
  • Booking patients' appointments for all departments face to face and via telephone
  • Answering and making telephone calls
  • Dealing with patient data and returning notes to medical records if needed
  • Checking and actioning mailboxes daily
  • Ensuring all paperwork is recorded and processed through Steeper Systems in accordance with set procedures
  • Keeping all patient details up to date on Meditech
  • Posting out goods and receiving post
  • Assisting the Business support lead with daily tasks
  • Providing flexible support to the team in the Kent and Medway prosthetic services

What we are looking for:

  • Previous Reception / Administrative experience
  • Good computer skills and presentation skills
  • Experience with Word, PowerPoint, Excel and other MS Office products
  • Experience with minuting desirable
  • Good communicator
  • DBS check
