We are looking for a highly organised, bilingual (Polish/English) Office Coordinator / Personal Assistant to join our growing team at Steelo. This role is ideal for a confident and independent professional who thrives in a fast-paced environment and enjoys playing a key role in the smooth running of a business. The successful candidate will provide day-to-day support to the Managing Director while coordinating across departments, maintaining compliance records, and ensuring the overall efficiency of office operations.
Key Responsibilities
- Executive Support & Coordination
- Provide personal assistant support to the Managing Director
- Manage calendars, meetings, and internal communications
- Coordinate between departments including logistics and production
- Organise company meetings and assist in planning internal events
- Prepare for and assist with audits (ISO, Health & Safety, etc.)
- Maintain and update certifications, licences, and internal records
- Ensure deadlines are met and documentation is up to date
- Oversee office supplies and consumables
- Manage filing systems (digital and physical)
- Support basic financial admin including invoice tracking and supplier contact
- Handle day-to-day office queries and liaise with contractors or service providers
- Assist in recruitment (posting vacancies, interview scheduling, onboarding)
- Help maintain staff records and support employee engagement initiatives
Skills & Qualifications
We’re looking for a motivated, detail-oriented individual with strong communication and time management skills.
- Essential:
- Bilingual – fluent in Polish and English (spoken and written)
- Proven experience as a PA, Office Coordinator, or similar role
- Excellent organisation and prioritisation skills
- Confident in decision-making and working independently
- Strong interpersonal and written communication abilities
- Competence with Microsoft Office and Google Workspace
- Knowledge of Health & Safety and audit compliance (preferred)
