We are looking for a Workplace Experience Partner (6 month fixed-term contract) to take ownership of the day-to-day running of our London office and play a central role in creating a welcoming, efficient, and well-managed workplace. This role combines core Office Management, Workplace Experience, and HR/People administration responsibilities. You will be the first point of contact for the London office, ensuring operations run smoothly, employees feel supported, and workplace standards (including Health & Safety) are consistently met. You will work closely with the People team and Finance to support onboarding, payroll administration, travel coordination, and core HR processes for our London-based employees.
- Office Management & Workplace Experience
- Own the day-to-day management of the London office, ensuring it is a well-run, safe, and enjoyable place to work.
- Manage relationships with building management, suppliers, and service providers.
- Oversee office facilities, supplies, maintenance, and vendor contracts.
- Act as the main point of contact for all office-related queries.
- Plan and support in-office events, team days, and cultural initiatives.
- Health & Safety
- Act as the London office Health & Safety lead.
- Ensure compliance with relevant Health & Safety legislation.
- Maintain risk assessments, fire safety procedures, and incident reporting.
- Coordinate training, drills, and required certifications.
- Travel & Logistics
- Coordinate business travel bookings for London-based team members or for colleagues from other offices.
- Manage travel logistics, accommodation, and related queries.
- Support the end-to-end processing of all London office expenses and coordinate team travel and accommodation, working closely with Finance to ensure accuracy, compliance, and cost awareness.
- Onboarding & Employee Experience
- Coordinate onboarding for new London-based joiners (office setup, access, induction logistics).
- Ensure new starters have a smooth and welcoming first experience.
- Partner with People/HR to support employee lifecycle activities.
- HR Administration & Payroll Support
- Provide core HR administrative support for the London team.
- Maintain accurate employee records and documentation.
- Support monthly payroll processes by coordinating inputs and liaising with Finance/payroll providers.
- Assist with benefits administration and employee queries.
- Input into key HR projects to enhance our workplace experience.
