The Role: We are seeking a highly organised, proactive and experienced PA / Executive Assistant to provide comprehensive support to our CEO. Working full-time on site at our Sheffield studio, you will act as a trusted partner, playing a key role in ensuring the smooth running of executive activities, managing complex schedules, coordinating travel, handling confidential communications and supporting key business priorities. This is a fast-paced and varied role requiring excellent organisational skills, strong attention to detail and the ability to build effective relationships with stakeholders at all levels. The successful candidate will be a confident problem-solver, able to anticipate needs, manage competing priorities and operate with professionalism and discretion.

Responsibilities

  • Executive & CEO Support: Act as a trusted partner to the CEO, proactively managing priorities, anticipating requirements and ensuring effective use of executive time. Provide comprehensive CEO support across both business and personal commitments where required, ensuring the smooth management of executive priorities. Own the planning and coordination of complex schedules, balancing competing priorities and adapting quickly to changing business needs. Independently manage executive communications, exercising judgement and discretion when handling sensitive or confidential matters. Identify opportunities to improve executive workflows, communication processes and administrative effectiveness.
  • Meetings, Governance & Leadership Support: Lead the planning and delivery of board meetings, executive sessions and leadership forums, ensuring high standards of preparation, organisation and follow-through. Establish and maintain effective processes for meeting management, action tracking and stakeholder accountability. Support the CEO and leadership team with briefing materials, reports and information required for informed decision-making.
  • Travel & Stakeholder Management: Own all aspects of complex domestic and international travel planning, ensuring seamless execution and contingency planning where required. Build and maintain strong relationships with senior stakeholders, clients, partners and suppliers, acting as a professional ambassador for the CEO and wider business. Coordinate high-profile visits and engagements, managing multiple stakeholders, schedules and logistical requirements.
  • Administrative Support: Own and oversee a broad range of administrative processes, ensuring efficient, accurate and professional support for the CEO and wider business. Prepare and manage reports, presentations, correspondence and business documentation, maintaining high standards of quality and confidentiality. Coordinate expenses, invoicing, purchase orders and related administrative activities, working closely with internal stakeholders to ensure timely completion. Continuously improve administrative systems, processes and record-keeping practices, driving efficiency, consistency and operational excellence.

Knowledge, Skills & Experience

Essential:

  • Significant experience as a Personal Assistant, Executive Assistant or similar senior support role.
  • Proven experience supporting C-suite executives and managing complex schedules and priorities.
  • Exceptional organisational and time-management skills with outstanding attention to detail.
  • Strong written and verbal communication skills with the ability to interact confidently with senior stakeholders, clients and partners.
  • Experience coordinating domestic and international travel, meetings and executive events.
  • Experience taking minutes, tracking actions and supporting board or executive-level meetings.
  • Strong administrative and financial administration skills, including expenses and invoicing processes.
  • Ability to manage multiple priorities and work effectively under pressure in a fast-paced environment.
  • High level of discretion and professionalism when handling confidential information.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and business systems.
  • Proactive, solutions-focused mindset with the ability to work independently and anticipate business needs.
