Selection Criteria

- Demonstrated knowledge and ability to support and maintain a school's publicity and promotional activities.
Role
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management. The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management. An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee’s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Responsibilities
Administrative Tasks
- Support the Business Manager and Principal Team with administrative tasks (when required and as directed).
- Provide support to the Administration Team to ensure successful completion of duties.
- Process documents on College letterhead (when required).
- Assist with the training of new administration staff.
- Proofread the newsletter, Compass posts or emails from Administration Team (when required).
- Review DET Bulletins and forward any information to relevant team members.
- Monitor the College email address and reply to or forward communications as required.
- Assist with the end of year VCAA Exams, working closely with the chief examiner to ensure all Department protocols and requirements are being followed.
- Coordinate annual archiving of administration documents.
- Take minutes during weekly briefings and distribute.
- Complete the administration required to process student suspensions.
- Organise catering for College events and liaise with caterers.
- Assistance with the production of an annual Awards Evening.
- Assistance with an annual Valedictory Evening.
Human Resources Administration
- Is responsible for processing and managing the School Level Payroll when required.
- Communicate with staff on a weekly basis to input absences in eduPay.
- Follow up staff absences in eduPay.
- Assist with advertising positions on School Jobs Vic and communicating with the Principal and Business Manager once complete.
- Organising and scheduling interviews for applicants and communicating to the members of the panel.
- Processing job offers on School Job Vic.
Marketing Management
- Is responsible for the management of communications and marketing across the College. This includes College website and social media accounts.
- Support with the production of school promotional materials such as the Open Evening Handbook and marketing materials.
- Assistance with the production of an annual Awards Evening and program booklet.
- Create marketing materials for events and school awards.
- Post relevant communications to families using Compass.
College Projects
- Coordinate the production of an annual College Yearbook.
- Coordinate the production of an annual staff organiser.
- Any projects the Principal Team or Business Manager request.
First Aid
- Is a member of the College’s First Aid team providing first aid to students when required.
- Records details of first aid and sick bay visits accurately on the proforma provided.
- Records all sick bay visits and incidents using the Department of Education & Training’s required system.
Occupational Health & Safety
- Assist when required in OHS tasks including but not limited to executing emergency drills, coordinating OHS meetings, OHS staff training, ensuring the College is meeting department OHS guidelines.
Other
- Work closely with the Business Manager to develop and implement a range of strategies to ensure effective compliance with College and DET policies and procedures.
- Is an active and collaborative member of the Administration Team.
- Other duties as directed by the Principal or Business Manager within the relevant dimensions of work.
