Your mission
Your mission is to make the office run seamlessly while helping to build a workplace that people genuinely enjoy being part of. You will bring structure and organisation to a busy environment, create a sense of community, and make sure everything behind the scenes works. From planning events to supporting new joiners, you will play a key role in keeping the team connected, supported, and happy.
You will take ownership of the day-to-day running of the Swindon office, ensuring the workspace is efficient, well-maintained, and welcoming. This is a hands-on role that blends operational excellence, facilities management, and people focus.
Responsibilities
- Oversee the smooth day-to-day running of the Swindon office, ensuring everything is organised, stocked, and functioning efficiently.
- Manage facilities and building services including maintenance, cleaning, access, security, and utilities.
- Schedule and manager routine maintenance for equipment and systems like HVAC, lighting and security alarms
- Act as the main point of contact for suppliers & contractors, managing service contracts, invoices, and budgets
- Supervise cleaning crews and maintenance staff
- Ensure compliance with health and safety standards, first aid, and fire safety regulations.
- Conduct regular inspections to check for safety hazards and ensure compliance with codes
- Manage emergency planning and response protocols
- Coordinate space planning, desk allocation, and office moves as the team grows.
- Support onboarding and offboarding processes, arranging IT set-up, desks, welcome packs, and ensuring smooth transitions.
- Coordinate meetings, manage schedules, and welcome visitors with professionalism and warmth.
- Maintain stock of office and kitchen supplies and ensure the workspace remains tidy and welcoming.
- Plan and deliver company events including team socials, company-wide gatherings, and seasonal celebrations.
- Support senior leaders and teams with administrative and scheduling tasks as needed.
- Anticipate needs, think ahead, and find ways to improve how things run.
- Help create a positive, people-first culture through thoughtful touches and attention to detail.
Qualifications
- Proven experience in office management, operations, or facilities coordination.
- Excellent organisational skills with the ability to prioritise and manage multiple projects at once.
- Attention to detail and a proactive, solutions-focused approach.
- Understanding of health and safety and building management best practices.
- Experience managing suppliers, contractors, and budgets.
- Comfortable working closely with senior leaders and able to communicate confidently and clearly.
- Willing to push back when deadlines or requests are not realistic, with a calm and professional approach.
- Confident using Google Suite and other workplace management tools.
- A team player who is approachable, helpful, and genuinely enjoys supporting others.
- Adaptable and quick to respond when things change in a fast-paced environment
- Must be eligible for UK SC clearance
