We are seeking a proactive, detail-oriented, tech-savvy Property Systems Administrator to lead, maintain, and enhance our property management software and digital tools.

What You’ll Be Doing

  • Ensure that our property management systems operate smoothly and play a key role in optimising operational efficiency.
  • Handle Landlord and Tenant enquiries with flair and professionalism.
  • Tackle queries, resolving disputes effectively.
  • Raise invoices, conduct account reconciliations, set up standing orders, prepare financial reports.
  • Work closely with property managers and other colleagues to keep everything running smoothly and provide training to the team.
  • Develop processes and procedures to improve the smooth running of the Property function.
  • Serve as a primary contact for all Property Management System needs, updates, and issues.
  • Monitor system performance and coordinate technical troubleshooting with internal teams and external vendors.
  • Implement system updates, enhancements, and new features as required.
  • Develop and deliver training materials and sessions for staff across multiple departments.
  • Maintain system data accuracy, reporting tools, and user access controls.
  • Analyse workflow processes and recommend improvements to strengthen operational efficiency.
  • Assist with onboarding new properties or business units into the property management systems.
  • Produce regular and ad-hoc performance reports for management.

What We’re Looking For

  • Experience of working in a professional office environment.
  • Account Management experience.
  • Customer relations experience.
  • Knowledge of Property Management software (MRI Qube or ProLease is preferable).
  • Desire for personal growth by undertaking learning and training opportunities.
  • Exceptional verbal and written communication skills.
  • Excellent time management, prioritisation, and diary management skills.
  • A collaborative, approachable attitude.
  • Proficiency in the Microsoft Office suite, including excellent Excel skills and experience of databases.
  • Analytical skills to improve and implement departmental procedures.

This role is primarily office based but there may be an opportunity to work remotely 1 day per week following the induction period.
