We’re hiring a highly organised Global Marketing Coordinator to support the Head of Global Marketing and wider global team with the coordination of international congresses/events, diary management, admin support and cross-functional organisation. You’ll play a key part in keeping plans on track, stakeholders aligned and logistics running smoothly.
What you’ll be doing
- Conferences, meetings & event coordination: Support the planning and delivery of global congresses, advisory boards and internal meetings, including schedules, attendee coordination and follow-ups. Coordinate event logistics such as travel, booth set-up support, and preparation/shipment of materials. Maintain clear, timely communication with organisers and internal stakeholders; support post-event evaluation and reporting.
- Admin, organisation & team support: Provide day-to-day administrative support: calendar/diary management, travel arrangements, internal meetings and document preparation. Support the creation, validation, distribution and archiving of materials, presentations and reports. Track actions, keep documentation accurate, and help the team stay organised across multiple priorities.
- Budget / invoice tracking: Assist with budget coordination for events/initiatives: track spend, reconcile invoices/estimates, and provide updates to stakeholders/Finance.
- Cross-functional coordination (4 regions): Act as a central point of coordination across four regions, supporting stakeholders across functions (e.g., Medical, Regulatory, Pharmacovigilance, Supply Chain) to keep work moving and information flowing.
What we’re looking for
- Strong coordination/admin experience (events/conferences ideal), with excellent attention to detail and ability to juggle multiple priorities.
- Confident using Microsoft Office and digital tools; project management qualification desirable.
- Clear written and verbal communication skills; fluency in English required.
- Proactive, organised, comfortable working independently in a fast-paced global environment.
