Responsibilities
- Staffing the Reception desk when required, ensuring Reception is not left unattended at any time;
- Answering all telephone calls in a polite and professional manner;
- Issuing and programming access badges and cards for cleared personnel;
- Operate and monitor security systems, CCTV and alarms and respond in accordance with procedures;
- Providing administration support to the security management team;
- Assist where necessary with the New Starter induction process;
- Handling internal and external enquiries (via telephone or face to face) in a helpful manner, striving to answer queries and solve problems with a “can do” attitude;
- Providing an excellent standard of customer service at all times, being an ambassador for the company’s vision of “setting the standard of customer service”;
- Working effectively with the Fleetlands site security team, ensuring that Reception and Security are communicating relevant information and working in sync, to maximum efficiency at all times;
- Sufficiently managing and maintaining stock levels of stationary and required documents and forms accessible;
- Ensuring all relevant personnel records and logs are updated accurately and regularly and that all information required, is included;
- Complete all relevant administration tasks which may change through time in line with requirements;
- Support the vetting processes of staff, contractors and club members to enable access;
- Undertaking any ad hoc related duties that may arise (as instructed by line manager) such as receiving deliveries;
- Assisting in planning and preparation for on-site visitors;
- Ensuring all visitors are advised of site security and health & safety requirements;
- Ensuring the Reception area is kept in a suitable condition for visitors and maintaining a good Company image;
- Carryout ITAR clearance activities, in accordance with Company requirements;
- Adhering to all Health and Safety rules and regulations;
- Working in line with our organisational values (Integrity, Respect, Excellence, Innovation and Teamwork);
- Adherence to our Quality Management Systems (QMS), Safety Management Systems (SMS), Environmental Management Systems (EMS) and all associated Business Manuals;
- Regularly audit security databases to ensure they are accurate and liaise with on site hosts to validity
