Job Summary

Currently we are looking for a Personal / Team Assistant supporting the M&A team.

Key Responsibilities

  • Strategy
    • Support the M&A team, assisting in daily BAU tasks as well as wider projects as requested.
    • Take responsibility for additional administrative responsibilities under guidance/request to support maximum team productivity, with good attention to detail and appropriate record keeping and supporting the other M&A Assistants.
    • Prioritise and act proactively to take ownership and manage tasks/projects from start to finish using strong organisational skills, with the ability to multitask while remaining calm and professional.
    • Use excellent interpersonal and communication skills (both written and verbal) to deal confidently with external clients, internal support functions, team members and global Management Team.
  • Business
    • Organising travel itineraries including booking flights, car pickups, accommodation, and prepare/submit visa requests, restaurant reservations etc. At times this would require urgent or immediate assistance in instances of cancelled or rescheduled travel arrangements.
    • Processing of expenses; ensuring the Gifts & Entertainment register is updated within the parameters of the policy.
    • Raise and manage IT, Telecom and Market Data requests; tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process.
    • Book meeting rooms and where required, refreshments, video conferencing, and any other hospitality requirements.
    • Assist team with administrative tasks such as printing, scanning and pitch book binding as required.
    • Assist team with logistics and meetings around annual conferences. This will include arranging tickets, travel, accommodation and organising events such as CEO or Roundtable events. Keep all stakeholders informed throughout the process.
    • Onboard new joiners / Offboard leavers and movers by raising system accesses and software through SRM system, completing the required leavers documentation and handover letters.
    • Onboard new vendors for invoicing and raise purchase orders where required, tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process.
    • Notify stakeholders of international visitors and complete visitor forms.
    • Organisation of internal and external client and industry events and entertainment including roadshows and conferences.
    • Expense tracking and allocation to project cost centres, billing to clients as required.
    • Providing cover for other team PA's during periods of leave or during busy periods.
