Staffline Recruitment Ireland is seeking a Compliance and Reporting Officer to join our Recruitment Process Outsourcing team in Belfast. This is an excellent opportunity for someone with experience in recruitment, compliance, onboarding or reporting who enjoys working in a structured, fast-paced environment and takes pride in accuracy, quality and process improvement.
The successful candidate will play a key role in supporting the delivery of compliant, efficient and high-quality recruitment operations across the RPO function. You will be responsible for onboarding activity, document verification, reporting, audits, data accuracy and operational compliance, while helping to maintain exceptional standards for both clients and candidates. This role would suit someone with strong organisational skills, a keen eye for detail and confidence working with data, reporting tools and process-led environments.
Key Responsibilities
- Compliance and Onboarding
- Conduct onboarding processes for new hires, ensuring all documents are complete, accurate and submitted on time
- Perform secondary verification of candidate documentation, including right-to-work checks, ID verification, qualification certification, vetting outcomes and certificate of completion forms
- Review and sign off certificate of completion forms and onboarding documentation
- Monitor compliance with recruitment processes, client SLAs and internal standard operating procedures
- Carry out regular audits of CRM data to ensure accuracy, consistency and GDPR compliance
- Identify compliance risks, process gaps or non-compliance issues and support corrective action
- Maintain and update compliance checklists, SOPs and quality frameworks
- Support internal and external audits by preparing relevant documentation and evidence
- Reporting and Data Management
- Produce accurate and timely reports on recruitment activity, onboarding progress, compliance status and operational KPIs
- Maintain dashboards and reporting tools to track performance, including time-to-hire, onboarding status, SLAs and KPIs
- Analyse data to identify trends, risks and areas for improvement
- Ensure data integrity across all systems, reports and supporting documentation
- Prepare weekly, monthly and quarterly reporting packs for management teams and clients
- Operational Support
- Act as a point of contact for compliance-related queries from internal teams, clients and candidates
- Support continuous improvement across recruitment workflows, documentation standards and operational processes
- Provide guidance to colleagues on compliance requirements and best practice for data quality
- Assist with the implementation of new compliance processes, SOPs, tools and system enhancements
- Stakeholder Support
- Work closely with Programme Managers, the RPO leadership team, Talent Acquisition Specialists and internal compliance teams
- Communicate reporting insights clearly and professionally to stakeholders
- Build strong working relationships across the business to support a culture of quality, compliance and continuous improvement
About You
To be successful in this Compliance and Reporting Officer job in Belfast, you should have:
- At least 1 year's experience in a recruitment or compliance role, or be a recent graduate or student due to graduate in July 2026 in a relevant degree discipline
- Practical experience using Microsoft Excel to manage data, create reports and use formulae effectively
- Strong IT skills, including Microsoft Word and Outlook
- A track record of delivering accurate, high-quality work to tight deadlines
- Strong planning and organisational skills with a structured approach to work
- A proactive, positive and flexible attitude
- The ability to work independently and as part of a wider team
- Sound judgement when following procedures, assessing risks and managing compliance-related tasks
- A working knowledge of recruitment practices across Northern Ireland and Ireland
- A full clean driving licence, as occasional travel may be required
Desirable Criteria
- Experience using Canva to create professional-quality documents, presentations or visual materials
- A third-level qualification in a business-related discipline
