Job Description

Job Title: HR Administrator (Part-Time)

Location: Belfast / Northern Ireland Offices

Employment Type: Permanent, Part-Time

Hours: 22.5 hours per week (reasonable flexibility required)

Salary: £25,000–£28,000 (pro-rata), dependent on experience

Job Summary

The HR Administrator will provide essential support to our fast-paced internal HR function. Working closely with the HR Director, HR Advisor, and wider leadership team, you will manage key administrative processes, maintain accurate employee records, and ensure compliance across all HR activities.

This role is ideal for a detail-oriented professional who enjoys working collaboratively in a dynamic environment and values flexibility in their working week.

What You’ll Do

Employee Administration & Support

  • Manage HR inboxes, responding to employee queries promptly and professionally.
  • Handle pay-related and general HR queries, maintaining confidentiality at all times.
  • Assist in administering reward and recognition schemes.
  • Ensure compliance with data protection regulations and internal policies.
  • Support the HR Director and HR team with day-to-day administrative duties.

Payroll & Records

  • Support the accurate and timely processing of NI and ROI monthly payrolls.
  • Communicate employee changes (e.g. new starters, pay adjustments, absences) to Payroll.
  • Maintain accurate employee files and HR records in line with legislation and company policy.

Recruitment & Onboarding

  • Support the onboarding and offboarding process for internal staff.
  • Coordinate internal recruitment administration, including job postings, interview scheduling, and offer letters.
  • Ensure all recruitment and selection activity follows internal policy and best practice.

Performance & Learning and Development (L&D)

  • Track performance review completion and training compliance.
  • Provide administrative support to the L&D function and update the quarterly training calendar.

Employee Relations

  • Support the HR Advisor in employee relations matters, including minute-taking at meetings.
  • Act as a credible and professional representative of the HR function.

Reporting

  • Prepare weekly and monthly HR reports for the HR Director and Finance Director.
  • Produce additional reports as required to support business decision-making.

HR Information System (HRIS) Management

  • Maintain and update the HRIS to ensure data accuracy, security, and compliance.
  • Provide user support and training to new employees and managers.
  • Support HR system upgrades and champion system use across the business.
  • Oversee user setup, onboarding procedures, and induction course assignments.

What We’re Looking For

Essential:

  • Previous experience in an administrative or HR support role.
  • Strong attention to detail and organisational skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Experience maintaining confidential records and handling sensitive information.
  • Minimum of GCSE (or equivalent) in English and Maths.
  • Full, clean driving licence or access to transport as travel may be required.

Desirable:

  • Experience supporting HR or recruitment processes.
  • Knowledge of HRIS systems and data reporting.
  • Understanding of GDPR and HR compliance.
  • CIPD Level 3 qualification (or currently working towards).
  • Degree in HR, Business Administration, or related field.
