The post holder will work as an integral member of the Quality and Projects Teams to assist NIBTS in the delivery of service modernisation projects and a safe and effective service to donors and patients. The post holder will provide administrative support to the Service Modernisation Project Manager and senior staff within the Quality Department, primarily focused on the introduction of a new Blood Production and Tracking (BPAT) IT solution. The post holder will assist in the management of controlled documentation including project plans, validation plans, policies, Standard Operating Procedures (SOPs), forms, Emergency Plans, strategies, risk registers, Service Level Agreements and guidelines throughout the Northern Ireland Blood Transfusion Service.

KEY DUTIES / RESPONSIBILITIES

  • Manage and participate in the production, issue, reconciliation and archiving of controlled documents both internally and externally (to regional hospitals) ensuring review, update, retrieval/re-issue and archiving are in accordance with GMP and regulatory compliance.
  • Ensure all project documents within the Document Control System are in the agreed NIBTS format and are correctly identified with a unique reference number and are fully approved before activation.
  • Liaise with Departmental Heads/Deputies regarding issue and effective dates of Standard Operating Procedures to ensure adequate provision of training periods.
  • Manage and maintain controlled document file indexes - this index reflecting the current version and title of all documents held.
  • Deputise for the Document Control Officer.
  • Participate in audits on document files within all departments of NIBTS, recording any non-conformances identified and participation in identifying a suitable action plan to address. The delivery of this task may include travelling to mobile sessions and/or the NIBTS base in Omagh.

ESSENTIAL CRITERIA

  • HCN/HND or equivalent/higher qualification and 1 years' experience (at Band 3) in a clerical/administration role OR 4 GCSEs Grade C or above to include English and Mathematics or equivalent qualifications and 2 years' experience in an administration/clerical role at Band 3 or above OR 3 years' experience in an administration/clerical role at Band 3 or above.
  • Experience in the use of software packages to include Outlook, Excel and Word.
  • Ability and experience in formatting documents.
