St Thomas & West Cross Surgery is seeking an enthusiastic motivated Practice Manager to lead the day-to-day operations of our busy, well-established GP practice serving the communities of Port Tennant and West Cross in Swansea. Our fantastic team consists of five partners, three salaried doctors, an advanced nurse practitioner, four experienced nurses, managerial, administration and reception staff. We are also a GP training practice, committed to supporting the development of future clinicians while delivering high-quality, patient-centred primary care services.

The Role
The Practice Manager will have overall responsibility for the operational, financial, and workforce management of the practice, ensuring services are delivered efficiently, safely, and in line with NHS Wales requirements.
Main duties of the job
Key Responsibilities Include:
- Leading and managing the day-to-day operations across both practice sites
- Providing effective leadership, supervision, and development of administrative and support teams
- Managing practice finances, budgets, and income streams
- Ensuring compliance with NHS Wales contracts, governance, and statutory requirements
- Supporting service development, quality improvement, and excellent patient experience
- Working closely with GP Partners, clinical teams, and external stakeholders

- Significant experience in practice or healthcare management, ideally within primary care but happy to train the right candidate
- Strong leadership, organisational, and problem-solving skills

Job Purpose
The Practice Manager is responsible for the effective management and day-to-day operation of the GP practice, ensuring high-quality patient services, strong financial and workforce management, and full compliance with NHS Wales and statutory requirements. The role supports the delivery of safe, efficient, and patient-centred primary care services.
Key Responsibilities
Operational Management
- Oversee the daily operational management of the GP practice.
- Develop, implement, and review practice policies, procedures, and systems.
- Ensure compliance with NHS Wales contractual requirements, GDPR, Health & Safety, employment law, and clinical governance standards.
- Manage premises, facilities, equipment, suppliers, and contracts.
Human Resources & Workforce Management
- Lead and manage the practice team, including reception, administration, nursing support, and allied staff.
- Manage recruitment, induction, training, appraisals, and performance management.
- Develop staff rotas and ensure adequate cover to meet service demand.
- Promote a positive, inclusive, and supportive working environment.
- Ensure delivery of high-quality patient services and access to care.
- Oversee appointment systems, telephone access, and patient communication.
- Manage patient complaints and feedback in line with NHS Wales procedures.
- Support continuous improvement of patient experience and engagement.
Finance & Business Management
- Prepare and manage practice budgets and financial reports.
- Oversee income streams including GMS/PMS, QOF, enhanced services, and reimbursements.
- Manage payroll, pensions, and liaison with accountants and external providers.
- Identify opportunities for service development and efficiency improvements.
Quality, Governance & Compliance
- Support clinical governance, audits, risk management, and safeguarding processes.
- Ensure policies are up to date and staff are trained appropriately.
- Prepare for inspections, reviews, and internal/external audits.
- Oversee effective use of practice IT systems and ensure data quality.
- Ensure compliance with information governance and cyber security requirements.
- Support reporting and data submissions as required.
Stakeholder Engagement
- Act as the main liaison with the Local Health Board, Cluster, contractors, and external partners.
- Represent the practice at meetings and collaborative primary care initiatives.
Person Specification
- Proven experience in practice management or healthcare administration.
- Strong leadership, organisational, and communication skills.
- Understanding of primary care operations and NHS Wales frameworks.
- Ability to manage competing priorities in a busy clinical environment.
- Strong financial and people-management capability.
- Qualification in healthcare management or business administration (e.g. NVQ Level 5, Diploma).
- Experience working within a GP practice.
- Welsh language skills or willingness to learn.
