ST TALENT are recruiting for a PA to Directors on behalf of an established business based in Leeds. This PA to Directors role would suit someone with previous experience supporting senior leadership teams within a busy professional environment. The successful candidate will provide high-level administrative and organisational support to multiple Directors, ensuring the smooth day-to-day coordination of business operations, meetings, travel, and company events.
Key Responsibilities:
- Managing complex diaries and scheduling for three Directors
- Coordinating customer and client visits
- Managing gate access and intercom systems, including welcoming visitors and external guests
- Handling incoming external telephone calls
- Overseeing multiple mailboxes, including general enquiries inboxes
- Processing expenses and managing company credit cards
- Organising internal events, including meeting room bookings and catering arrangements
- Coordinating company events in collaboration with the Marketing team
- Ordering and maintaining office supplies
- Supporting HR with training records and coordinating internal training sessions
- Managing staff recognition awards, including long service and birthday celebrations
- Arranging travel and accommodation bookings
- Organising company social events, including annual celebrations and corporate events
- Coordinating international travel and hotel bookings for larger groups
- Taking minutes during meetings
- Preparing agendas and coordinating actions for monthly board meetings
- Maintaining filing systems and company records
- Assisting with onboarding processes for new starters
Requirements:
- Previous experience providing PA support at Director or Executive level
- Experience managing complex diaries and schedules
- Strong relationship-building and stakeholder management skills
- Experience liaising with external customers and partner organisations
- Office management or senior administrative experience
- Ability to handle sensitive and confidential information
- Experience working to tight deadlines and managing multiple priorities
- Excellent communication and interpersonal skills
- Strong organisational and time management abilities
- Proficient in Microsoft Outlook, SharePoint, Word, PowerPoint, and Excel
