St Margaret's Hospice Care has a fantastic opportunity for a Clinical Administrative Support to join our team. Your work behind the scenes will play a vital part in enabling our clinical teams to focus on delivering the best possible care.
Location: Yeovil
Salary: Β£10598.19 per annum
Working pattern: Part time, 15 hours per week
Contract: Permanent
Although based in Yeovil, there may be opportunity to work cross county and occasionally at home. We can also consider flexibility around working pattern and spread across the week.
Main duties of the job:
- Providing timely responses to scheduling, referral and appointment queries
- Updating spreadsheets and databases
- Managing the patient record system
- Co-ordinating clinics and organising patient appointments
- Processing orders and invoices
Holiday entitlement:
- 33 days holiday including bank holidays rising to 35 days after 1 year, and increasing with length of service (pro-rata if part-time)

Job responsibilities:
- To respond promptly, efficiently and professionally to all types of referrals to the service, dealing with interruptions to planned tasks, and re-prioritising own workload at short notice
- To liaise with internal and external colleagues in processing referrals and answering general enquiries regarding access and referrals to the service
- To promptly and accurately record and maintain referrals, deaths and discharges on the SystmOne database system
- To book appropriate patient appointments according to the triage completed by the clinical team
- To arrange regular team meetings, booking rooms, preparing agendas, and as needed taking, writing up and distributing minutes
- Contributing to meetings where appropriate
- To provide administration support to the wider multi-disciplinary team for the efficient running of the service, including processing Lymphoedema requirements, typing of correspondence and documents, organising patient appointments, maintaining stats, booking transport, recording patient phone calls, filing, photocopying and distribution
- Ordering and processing of lymphoedema hosiery and consumables, filing, recording and processing invoices prior to passing to lead lymphoedema specialist for approval
- Cover and support the rest of the administrative team with their workloads and absence cover including reception duties. This may also include cover in other hospice sites
- Participate in the orientation and induction of new staff including training in administration procedures and equipment as required
- To identify, propose, facilitate implementation and maintenance of systems that improve and help in the administration of the service and maintain records of activity, including the creating, formatting of database/spreadsheets and the retrieval of information that may require some analysis

Education and Qualifications:
- Educated to GCSE (grade A-C/ 9-4) or equivalent, including Maths and English
- willingness to undertake any courses offered in order to improve knowledge of work of Hospice

- Able to communicate with a wide range of people including the Multi-Disciplinary Team, District Nurses, Community Clinical Nurse Specialist, patients and distressed relatives
- Previous experience in customer service role
- Ability to deal with patients in sometimes difficult situations
