At St Luke's Hospice, our people are at the heart of everything we do. We are looking for an organised, proactive, and highly professional Corporate & Clinical Governance Administrator to provide vital support to our Corporate and Clinical Governance functions. This is an exciting opportunity for an experienced administrator who enjoys working in a fast-paced environment, building strong relationships, and ensuring high standards of governance across a respected healthcare charity. This is a 26 hours per week position, ideally worked over four days.

This is a key position supporting our Board of Trustees, Executive Team, and Clinical Governance Team. You'll play an integral role in ensuring meetings, governance processes, and administrative functions run smoothly, helping us maintain the highest standards of care, accountability, and regulatory compliance. Working across both Corporate and Clinical Governance, you'll be responsible for coordinating meetings, producing high-quality documentation, maintaining governance records, and supporting a range of important organisational initiatives.

Key Responsibilities

  • Corporate Governance
    • Provide professional administrative support to the Executive Team.
    • Coordinate complex meetings, schedules, and governance activities.
    • Prepare, collate, and distribute agendas, reports, and meeting papers.
    • Take accurate minutes and monitor action logs.
    • Support Executive communications and organisational updates.
    • Build strong relationships with internal and external stakeholders.
  • Clinical Governance
    • Support governance meetings and committees through effective administration.
    • Maintain governance documentation, policies, procedures, and records.
    • Monitor review dates and ensure governance documentation remains up to date.
    • Support incident review processes, including After Action Reviews and learning events.
    • Assist with Subject Access Requests, Access to Health Records Requests, and Coroner enquiries.
    • Support medical device administration and governance systems.
  • General Support
    • Maintain the highest levels of confidentiality and professionalism.
    • Monitor and track actions, risks, and governance outcomes.
    • Provide flexible support across both governance teams as required.

About You

We're looking for someone who is highly organised, confident working independently, and able to manage multiple priorities while maintaining exceptional attention to detail.

Essential Experience & Skills

  • Previous experience as a Personal Assistant, Executive Assistant, or senior administrator.
  • Experience supporting senior leaders or management teams.
  • Excellent minute-taking and meeting administration skills.
  • Strong Microsoft Office skills, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Outstanding organisational, proofreading, and communication skills.
  • Ability to build effective working relationships with a wide range of stakeholders.
  • Strong attention to detail and ability to quality-check work.
  • Ability to work independently and manage competing priorities.
  • Experience working within a healthcare environment.
  • Knowledge of medical terminology.
  • Interest or experience in charity governance, healthcare governance, or clinical governance.
