The role
The role holder will play a pivotal role in ensuring the smooth running of recruitment processes across the organisation.
This person will focus on providing exceptional administrative, scheduling and candidate care support to the Talent Acquisition team, ensuring hiring managers, candidates and stakeholders receive a professional, efficient and high-quality service.
The role holder will also support ATS (Cornerstone) administration, assist in the creation of recruitment data and insights, and provide flexible support to the Early in Careers team during peak activity periods.
What you'll be doing
- Schedule interviews across all levels of the organisation, ensuring timely and accurate arrangements for candidates and hiring managers.
- Manage logistics for virtual, in-person, and panel interviews, including room bookings, video conferencing links, and assessment centre coordination.
- Provide clear and timely communication to candidates and hiring managers, ensuring a positive candidate experience throughout the process.
- Maintain accurate records in the Cornerstone ATS, ensuring compliance with data protection and recruitment policies.
- Create and update candidate profiles, job postings, and interview schedules within the system.
- Support recruitment campaign logistics, including drafting candidate correspondence, collating application packs, and tracking responses.
- Assist in preparing recruitment reports, dashboards, and insights for the Talent Acquisition team.
- Track key metrics such as time-to-hire, candidate experience scores, and application volumes to inform decision-making.
- Ensure data quality within the ATS for accurate reporting and compliance.
- Provide ad hoc administrative support to the wider Talent Acquisition function as needed.
- Collaborate with the Early in Careers team during peak activity periods, supporting graduate, apprentice, and internship recruitment processes.
- Assist with event preparation, candidate communication, and logistics for Early in Careers assessment days and onboarding.
- Identify opportunities to improve scheduling and administrative processes to increase efficiency and candidate satisfaction.
- Maintain recruitment process documentation and support training for new hiring managers on the ATS use and interview scheduling.
Who we're looking for
The role holder must have a solid understanding of the end-to-end recruitment process and the role of administrative and co-ordination activities in delivering an exceptional candidate and hiring manager experience.
They will need strong knowledge of interview scheduling logistics, ideally an ATS (ideally Cornerstone) and recruitment documentation standards and compliance requirements relating to data protection and equal opportunities.
Previous experience in supporting high volume or complex recruitment campaigns, including early careers programmes is valuable, combined with the ability to successfully navigate the priorities of multiple stakeholders in a fast paced, professional services or corporate environment.
This person will need excellent communication skills, be professional in their approach and confident in their area of expertise with a positive, collaborative approach.
They will need strong troubleshooting skills, both with interview scheduling and ATS errors, and be able to suggest improvements to increase accuracy and turnaround speed.
Essential Criteria
- Good understanding of the end-to-end recruitment process and the role of administration and co-ordination activities in delivering a first-class candidate/hiring manager experience.
- Able to professionally and efficiently manage high volume interview scheduling and recruitment administration tasks.
- Confident interpersonal skills - able to liaise professionally with stakeholders at all levels.
- Self-motivated and solution focused.
Desirable Criteria
- Previous ATS experience - ideally Cornerstone.
- Previous experience within a fast paced professional services or corporate environment.
Special Requirements
May occasionally require flexible working hours to meet recruitment deadlines or attend events.
Travel to other office locations may be required.
