The role:

In this role, you'll provide comprehensive executive support to the Chief Investment Officer (CIO), ensuring the efficient management of day-to-day activities. You'll collaborate effectively with all other Executive/Business Assistants, fostering a supportive and communicative environment. This includes participating in regular check‑ins, sharing information, and coordinating on cross‑team workflows to help maintain efficiency. Your ability to build positive working relationships and communicate clearly will be important in supporting the overall administrative functions smoothly.

You will also be responsible for the coordination of complex diary and meeting arrangements, including preparing agendas, organising meetings, recording decisions and actions, and actively tracking follow‑ups to maintain momentum and accountability. You will also handle travel arrangements, including booking local and international travel and accommodation, while managing and tracking expenses in compliance with company policies. Additionally, you will lead event planning activities within your directorate and coordinate absence and annual leave requests for the senior leadership team.

Managing the CIO's email inbox will be a key part of this role, ensuring timely responses and prioritisation and the appropriate escalation of communications. You will also provide in‑person administrative and organisational support as needed to enhance efficiency and support the Chief Investment Officer’s strategic priorities. This role is initially on a three month fixed term contract but could potentially become a permanent position.

Who we're looking for:

  • Previous experience in a similar role as an EA supporting at Executive Director level in a fast‑paced environment.
  • Exceptional organisational skills, with the ability to run complex diaries, coordinate multiple senior stakeholders, and prioritise competing demands.
  • Excellent written and verbal communication skills, including the ability to handle correspondence, and engage confidently with internal and external stakeholders.
  • Proven ability to operate with a high level of discretion, professionalism, and integrity when handling confidential and sensitive information.
  • A proactive and solutions‑focused approach, with strong judgement and the ability to anticipate needs and coordinate shifting priorities.
  • Strong digital and IT capability, including advanced proficiency in Microsoft 365 tools and confidence adopting new systems and ways of working.
  • Experience coordinating complex travel arrangements and managing expenses in line with company policies.
  • Experience planning and delivering events, including leadership meetings, and internal forums, with strong attention to detail and logistics.

Special Requirements:

A hybrid in‑office presence is required, with flexibility to adjust working hours periodically to meet the needs of the role.
