The Technology Operations division is responsible for keeping all our systems available and safe, which is provided by teams of technical specialists and suppliers providing critical functions. It has a wide span of responsibility which requires support to meet governance and oversight requirements.

This role provides confidential and professional support to all governance activities required in Technology Operations and support to the Technology Operations Directory in those activities. This includes ensuring that technical governance mechanisms and documentation is arranged, managed and maintained. It also includes several administration activities and ad hoc support for projects.

What you’ll be doing:

  • Attending technical, governance and supplier meetings to provide meeting support and minute taking.
  • Managing IT and Cyber Policy Reviews, ensuring they are up to date in the Policy Review app, allocated to appropriate reviewers, and support the Tech Ops director in submission and approval.
  • Being the Microsoft Workspace Specialist and contact point to communicate Microsoft technical training offerings to appropriate Tech Ops teams.
  • Reviewing and updating Tech Ops SharePoint site updates and in particular updating with news and announcements on behalf of Tech Ops team.
  • Supporting actions required for small projects and initiatives.
  • Organising and submitting ‘On Call and Overtime Payments’.
  • Assisting the Tech Ops Director with budgeting such as creation and base population of forecasts, meetings with appropriate owners, and working with Finance.
  • Overseeing spend on ‘travel’ and ‘meetings’ against budget for Technology Operations.
  • Monitoring email inboxes and directing enquiries to appropriate team members or other parts of the organisation.
  • Attending meetings, circulating agendas and minutes, taking minutes and Team meeting actions, and proactive task creation for the Tech Ops Director.
  • Assisting with management of the Technology Operations Director’s diary if the PA is absent.
  • Providing joining, induction and leaving routines for Technology Operations Division staff, including being a point of contact for all new starters to ensure welcomed.
  • Tracking and processing of all headcount requests and ongoing recruitment, including intern, apprentice and graduate placements in the division.
  • Supporting Employee Survey feedback actions for Technology Operations.

Who we’re looking for:

We’re looking for a proactive professional who can arrange, coordinate, and manage activity to support the running and organisation of the Technology Operations Division.

  • Excellent time management, planning and organisational skills; able to prioritise a range of tasks for people at various levels and deliver in a timely manner.
  • Advanced user of Microsoft Office, Outlook, PowerPoint and Excel Skills and familiarity with O365 suite including SharePoint.
  • Excellent communication skills at all levels and able to communicate with both internal and external stakeholders.
  • ‘Can do’ attitude and ability to engage effectively with others in a helpful and friendly manner.
  • Confident and professional in dealing with Senior Managers and Directors.
  • An understanding of IT technical jargon and a willingness to learn IT and systems.
  • Bachelor's degree or equivalent in STEM or related subject including but not limited to; Information Technology.
