About the role:

The role requires confidential, professional PA support to the APO management team, as well as providing support as necessary to the wider Advice Policy & Operations area.

To contribute to the achievement of the objectives of Advice Policy and Operations through the provision of general team administrative activity, key record keeping and procedure maintenance along with occasional event co-ordination.

What you'll be doing:

  • Manage multiple, complex diaries in a proactive manner, anticipating and managing clashes
  • Act as a first point of contact and respond to queries (verbal and written) in a timely and professional manner
  • Provide support with ad-hoc projects and new initiatives as and when required
  • Arrange travel and accommodation in an efficient manner, providing a range of options/alternatives whilst adhering to budgetary guidelines.
  • Proactively co-ordinate and prepare agendas/meeting packs for meetings in a timely manner and ensure all required resources are available
  • Where required, attend meetings to take minutes and contribute during the meeting if required. Minutes to be produced accurately
  • Manage activities and workload autonomously
  • Responsible for maintaining/updating People data and key regulatory records including SMCR information

Essential Criteria

  • Stakeholder management – Communicating clearly and managing expectations of Partners and colleagues.
  • Strong experience in administrative support, including arranging meetings, travel arrangements, general administrative tasks etc
  • Confident in utilising a range of software (excel, PowerPoint, SharePoint etc)
