Overall Purpose

As the Senior Receptionist, you will be permanently based on the reception desk at Charles the 2nd reception, covering the front of house functions. You may also be covering the 31 St Jamess reception as and when needed. You will have ownership and accountability for both reception areas and its environment, ensuring a seamless, warm welcome is delivered at all times. You will also be responsible for managing the coffee station and any related supply orders. It is pertinent for the Senior Receptionist to ensure attention to detail and maintain brand standards at all times. You will be expected to provide the highest level of customer service and professionalism, go the extra mile to keep our customers and clients happy, as well as to liaise with the occupiers and ensure VIP treatment is delivered. This role will require obtaining SIA licence and IOSH certificate.

Duties and Responsibilities

  • Take full ownership and accountability of the reception and all associated areas, liaising with cleaners, facilities, security, and other departments as deemed necessary.
  • Be customer-focused and responsible for meeting and greeting all visitors and tenants to the building and hosting in the reception lounge.
  • Meet and greet, signing in guests and visitors according to security procedures and processes and directing them to the relevant floors.
  • Follow standard and greet procedure according to St James standards.
  • Build and maintain strong relationships with occupiers and other service providers.
  • Work closely and share desks with the Building Host and Security Team.
  • Ensure the St James folder, manual, occupiers procedures, phone database are up to date.
  • Deal with high volume of visitors in a professional, calm, and welcoming manner.
  • Collate and deliver accurate reports on all aspects of information as requested from the client and senior management; produce weekly and monthly reports.
  • Review existing standards and procedures while implementing new best practices to ensure seamless delivery of Front of House Services.
  • Produce, manage, and operate the reception rota, checking future planned absences and liaising with management for cover as and when required.
  • Assist guests and visitors, occupiers and clients with their queries, comments, and suggestions in a knowledgeable and professional manner.
  • Manage difficult calls and/or distressed callers/visitors in a calm and professional manner; report accidents or incidents where appropriate.
  • Perform administrative duties including word processing, photocopying, ordering stationery and facilities.
  • Manage and promote the implementation for any change, upgrade, or advancement of software systems.
  • Manage the building app, create posts and content, update and refresh the database where appropriate.
  • Ensure the team are always correctly attired and project a professional image.
  • Create and lead on the events calendar, pop ups and freebie Fridays for the building.
  • Adhere to St James policies and procedures, code of conduct and be fully conversant with the emergency procedures in relation to Health & Safety issues.
  • Ensure compliance with all current statutory legislation in respect of health and safety.
  • Be presentable and professional at all times, as outlined in the St James Guide.
  • Offer guests refreshments when applicable and make sure that supplies are ordered.
  • Be in post ready to greet at the allocated time.
  • Maintain good working relationships with colleagues.
  • Any other duties as deemed necessary to support the client, customer, colleagues, and St James.

Knowledge And Skills

  • Previous experience in delivering exceptional customer service essential.
  • Excellent command of the English language, both verbal and written.
  • Experience of using Microsoft Office, PowerPoint, and Excel essential.
  • Ability to work in a busy environment and comfortable with high volume of visitors.
  • Excellent punctuality, outgoing and a can do/proactive attitude.
  • Innovative and creative.
  • Produce presentations to report to your line manager and client.
  • Experience in supervising preferred.
