The role of Community Space Coordinator is a brilliant opportunity to join our Community Team at our coworking space, Bayspace. Set within a renovated and iconic Grade II listed building with spectacular views of St. Ives Bay, Bayspace will inspire creativity, connection with the local community and provide opportunities for both start-ups and well-established businesses.
In this position, you will hold a varied set of customer-facing responsibilities to maintain the efficient running of our coworking space. You will be primarily based at our workspace reception, greeting members, signing visitors in, and directing meeting room and event attendees within the space. You will also help with the planning and delivery of our events programme. In addition, you will hold a range of operational, technical, and administrative duties to ensure our ‘back of house’ runs like clockwork. We are a small, tight-knit team, so you will be involved across all areas of the business, providing plenty of room for learning and development.
This is a full-time position which will evolve with the development plans for Bayspace. This is an opportunity to have a meaningful impact within the business, supporting the overall ambitions of St Ives Workstation CIC and sustainable economic development within St Ives.
Key Tasks & Responsibilitie
Front of House
- Welcoming members and visitors to Bayspace.
- Assisting members with in-person general enquiries.
- First point of contact for all new membership enquiries, calls, and organising workspace tours.
- Keeping our notice boards up to date throughout the space.
- Signing guests in on our space management system, Nexudus.
- Accepting post and deliveries for members.
- Assisting with membership and access management.
- Assisting with onboarding new members to Bayspace.
- Handling telephone and email enquiries.
- Handling meeting room bookings.
- Meeting and greeting meeting room attendees.
Workspace Coordination
- Helping to maintain our annual operations & facilities calendar.
- Maintaining fire safety logs and arranging health & safety risk assessments.
- Liaising with suppliers and arranging emergency callouts where necessary.
- Handling issues on our ‘ops ticketing system’ on Nexudus (our coworking software.)
- Communicating operational updates to members.
- Keeping track of general consumables and placing orders.
- Carrying out sustainability reports and improving performance.
General Support
- Assisting with coordinating events (moving furniture, setting up signage, stocking fridges and directing attendees as required.)
- Events support on the night, sometimes running certain events autonomously.
- Assisting meeting room attendees during their time in the space.
- Carrying out tours for new or potential members where required.
- Technical and operational troubleshooting throughout the space.
- Open and/or close the space, depending on shift patterns.
Salary, Hours & Benefits
Salary:£27,500 per annum.
Generous holiday:25 days, plus 8 bank holidays per year.
Full time:37.5 hours per week (usually Monday to Friday), including evenings and occasional weekends.
