St Gregory's Catholic School is looking for a highly organised and personable Admissions Officer to join our school's administrative team. This is a key role managing all aspects of pupil admissions — from initial enquiries through to welcoming new students and families into our community. The successful candidate will have excellent communication skills, strong attention to detail, and the ability to handle confidential information with professionalism. You will take pride in providing a warm and efficient service to parents, pupils, and partner schools, ensuring a smooth admissions and transition process for all. Experience working within a school or in an administrative role involving data management and customer service would be an advantage. Training will be provided on school systems and procedures.
Purpose of Job: To manage all aspects of student admissions, including Year 7 intake and in-year transfers, ensuring a smooth and professional process for applicants and families. To support the organisation of open events, experience days and transition activities.
Key duties and responsibilities:
- Admissions Administration: Manage the admissions process for Year 7 and in-year applicants in line with school and local authority policies. Record, rank and maintain waiting lists accurately, applying the published admissions criteria. Maintain and update student records on SIMS and ensure data accuracy for school census and reporting. Liaise with the KCC Admissions Team and other schools regarding new starters and leavers.
- Communication and Liaison: Handle enquiries from parents, carers, and external agencies by phone and email. Prepare and issue correspondence, offer letters, and parent information packs. Support transition communications with families to ensure a positive onboarding experience. Arrange meetings between prospective students, parents, and key school staff.
- Events and Transition Support: Assist with the planning and delivery of Open Mornings, Open Evenings, and Experience Days. Support the organisation of Year 6 transition events, including induction and first-day arrangements. Co-ordinate primary school liaison visits and maintain records of transition meetings. Attend key events, including two Open Evenings and one Saturday Open Day.
- Other Duties: Undertake other tasks reasonably requested by the line manager to support the smooth running of the school.
