The Enrollment Coordinator – International serves as a key member of Medforth Global Education’s (MGE) Admissions Operations team, responsible for the accurate processing, documentation management, and enrollment-step progression of international applicants. This role ensures timely and compliant movement of applicant files from application submission through matriculation readiness by maintaining complete, accurate, and audit-ready records.

Working collaboratively across functions and departments, the Enrollment Coordinator supports applicant progression by ensuring documentation requirements are met, enrollment steps are completed, and workflow movement occurs efficiently and quickly. This role balances operational processing with structured team and applicant communication to maintain clarity, responsiveness, and service standards throughout the admissions lifecycle.

All applicant activity and updates are documented in Salesforce to ensure data integrity, transparency, and seamless cross-team coordination.

Essential Functions
  • Application, Document & Data Management
    • Facilitate the daily processing of international applications and supporting documentation.
    • Ensure applicant records, interactions, and enrollment steps are accurately recorded in Salesforce.
    • Lift holds, confirm enrollment-step completion, and verify records in alignment with institutional and regulatory requirements.
    • Maintain clean, complete, and audit-ready applicant files prior to advancement in the admissions workflow.
    • Identify and correct data discrepancies to ensure accurate file status and reporting.
  • Enrollment Progression Support
    • Provide clear guidance to applicants and deposited students regarding required documentation and enrollment steps.
    • Monitor file progression to ensure materials are received, processed, and updated in a timely manner.
    • Respond to applicant inquiries within established service standards (24–48 hours).
    • Escalate documentation or workflow concerns to leadership when necessary.
  • Cross Functional Collaboration & Cross-Department Coordination
    • Serve as an active member of a cross functional and cross departmental team, collaborating to support efficient applicant movement.
    • Participate in applicant reviews and workflow discussions to ensure accurate status updates.
    • Coordinate with International Recruitment, Financial Aid, Registrar, and other departments to support smooth applicant transitions.
  • Operational Accountability
    • Ensure assigned files move efficiently through each stage of the admissions operations process.
    • Maintain detailed and accurate Salesforce records reflecting real-time applicant status.
    • Adhere to processing timelines and internal service standards.
    • Identify operational barriers and communicate them appropriately.
  • Recruitment Communication Alignment & Applicant Status Coordination
    • Maintain close alignment with the International Recruitment team to ensure accurate and timely communication of applicant file status, outstanding requirements, onboarding needs, and hold resolution.
    • Proactively monitor application and onboarding milestones to identify required follow-up items and communicate updates to Recruitment for applicant outreach.
    • Ensure Recruitment is informed of material status changes that impact applicant progression, decision readiness, deposit status, or matriculation needs.
    • Collaborate with Recruitment to clarify documentation deficiencies, onboarding requirements, and next-step guidance to ensure consistent messaging.
    • In select circumstances, provide direct outreach to applicants or deposited students to resolve documentation issues, remove operational barriers, or clarify enrollment requirements, while maintaining Recruitment as the primary applicant-facing team.
  • Additional Responsibilities
    • Provide operational coverage during peak periods to ensure uninterrupted service to applicants, students, staff and faculty.
    • Support institutional initiatives and special projects as assigned.
    • Ensure compliance with all institutional policies and regulatory standards.
    • Perform other duties and special projects assigned by leadership.

  • Proficiency with CRM systems (Salesforce preferred).

Qualifications
  • Bachelor’s degree required.
  • 2–4 years of experience in admissions, enrollment operations, student services, or related field.
  • Experience supporting international populations preferred.
  • Experience using Salesforce or comparable CRM systems preferred.
Work Environment & Physical Demands
  • Professional office or hybrid environment with frequent use of digital systems.
  • Ability to maintain focus and accuracy in a high-volume admissions setting.
Hours & Travel
  • Full-time, Monday–Friday schedule (dependent on time zone).
  • Flexibility required during peak international admissions cycles.
  • Ability to adjust hours to accommodate global time zones as needed.
