Job Responsibilities:
- Provide clinical administration support to the Neurosciences division, focusing on RAAR.
- Input data relating to RAAR beds into required systems (e.g., UKROC).
- Provide administrative support to Neurosciences projects including audit and governance reports.
- Provide cross cover for other Neurosciences administrative and clinical service coordinators.
- Work in close cooperation with Neurosciences staff and other health professionals to ensure delivery of a first class service.
- Be an active and supportive member of the Neurosciences administrative and clerical team.
- Have excellent keyboard and word processor skills in Microsoft Word, Excel and Outlook.
- Identify the most appropriate layout of complex documents (e.g., reports, minutes of meetings).
- Organise file management system for files—creating new files, storing discharged files, and arranging off-site archiving.
- Identify problems with file management functionality and raise them with the Specialty Manager and Clinical Leads.
- Manage incoming correspondence, ensuring it is promptly dealt with by the appropriate staff member.
- Manage other general correspondence, including distressing or emotional content (e.g., discharge summaries, memoranda, miscellaneous reports), ensuring all correspondence meets the Trust’s current formatting standards.
- Arrange, plan, take and transcribe accurate minutes for meetings and conferences.
- Assist in compiling reports, audits, teaching materials, research papers and slides within agreed time frames.
- Act independently, ensuring daily tasks and ongoing workloads are prioritised and completed on time.
- Undertake photocopying as necessary.
- Update medical records and Cerner (iClip) with patient details as required.
- Locate, collect and book patient records in and out of the department.
- Input patient-level data into appropriate systems (e.g., UKROC).
