The predicted salary is between 29970 - 36483 £ per year.

We currently have a vacancy for up to 28 hours per week (negotiable) to join our secretarial team. The team are busy, but very highly thought of by the rest of the organisation. The position would suit a Secretary who has experience working in a medical setting although this is not essential.

Main duties of the job include:

  • Leading the e-RS (Choose and Book) referrals work.
  • Managing the incoming paper and digital correspondence from hospitals and specialists.
  • Writing outgoing letters and referrals for our GPs and clinicians using audio- and copy-typing, NHS email and SystmOne clinical system.
  • Frequent telephone contact with patients and specialist hospital departments to answer queries and update referral status.
  • Managing post, filing notes, photocopying and other related tasks.

We have a strong clinical team of five Practice Nurses, five Nurse Prescribers, and seven GPs, all supported by experienced Healthcare Assistants, administrators, dispensary and management teams. Job responsibilities include:

  • Leading the e-RS (Choose and Book) referrals.
  • Managing the incoming paper and digital correspondence from hospitals and specialists.
  • Audio- and copy- typing, NHS email and SystmOne clinical system to write outgoing letters and referrals for our GPs and clinicians.
  • Telephone contact with patients and specialist hospital departments to answer queries and update referral status.
  • Managing incoming and outgoing paper post.
  • Supporting queries from the Practice team, working closely with GPs.
  • Filing and retrieving medical notes.
  • Photocopying.

Person Specification:

  • Good basic level of education with minimum grade C in GCSE maths and English.
  • Further administration qualifications such as audio-typing, medical terminology, or other Medical Secretary qualifications.
  • Previous administration or secretarial experience in an NHS setting.
  • Excellent telephone manner.
  • Excellent IT skills (particularly email and Word).
  • Excellent customer service and patient-focus.
  • Excellent interpersonal skills with team colleagues and other professionals.
  • Excellent personal organisation and time-management skills.
  • Recent experience working as secretary in a GP Practice.
  • Experience using SystmOne clinical system.
  • Experience using e-Referral System.
