  • Job Purpose and Key Accountabilities

As Wedding, Meeting and Events Manager, you will be responsible for assisting the Head of Events in quoting and conversion of Corporate (DDR, Room Hire) leads and Wedding and Social leads received at the hotel.

You will also have a responsibility to research current market trends, suggest pro active and marketing activities to assist in increasing lead generation.

Assisting in achieving budgets and targets set for the department and overall hotel budget through effective use of yielding rates and promoting the services of the Hotel.

You will ensure you are optimising all opportunities to promote the Hotel in a proactive and professional manner.

Once enquiries convert into confirmed business, you will be in charge of contracting the business, arrange payments and manage the booking until the day of the event, by communicating with the client to get all final details and creating banquet event orders for the Operations Team.

  • Key Areas of Responsibility
  • Make sure that all enquiries are responded within an appropriate timeframe, making sure the clients receive the correct information requested in a clear and well presented manner.
  • Prepare all event documentation and coordinate with Sales, other Hotel departments, and customer to ensure successful delivery of hotel event.

Ensures compliance with Pricing and selling guidelines to maintain revenue integrity.

  • Quote according to hotel guidelines, ensuring information is correctly input into the system immediately and all enquiries are chased on a regular basis.
  • To ensure sales enquiries are accurately handled and followed through using the appropriate processes and technology. Deadlines must be met and correct documentation provided.
  • Handling of contracts, contract amendments and deposits; and ensure all are efficiently and within the deadlines given.
  • Conduct site inspections and educational trips for clients to promote the hotel facilities and services. Conduct pre conference meeting with clients where necessary.
  • Develop and maintain good working relationships with clients to achieve consistent and efficient service to customers and return business.
  • To ensure effective communication within the Conference & Events Department and throughout the hotel, particularly with Food & Beverage, Front Office and Sales.
  • Proactively identify operational challenges associated with his/her group and works with the hotel staff and customer to solve these challenges and/or develop alternative solutions.
  • Assisting in completing daily, weekly and monthly reports within deadlines.
  • Complete all post event activities such as chasing payments, guest satisfaction and rebooking cales opportunities.
  • Attend detailed Wedding planning meetings with couples & co-ordinate with other hotel departments.
  • Attend Weddings on the day to assist with operations department.
  • Take part in special projects as directed by the DOS/DOSM. Projects include but are not limited to telesales, prospecting, research, reporting, championing policies.
  • Event Management of other events and ability to perform all additional duties deemed necessary and reasonable by the Head of Events or any member of the management team.

  • A high level of IT skills including outlook, word & excel
  • The ability to constructively challenge company procedures and recommend amendments which will have a benefit to the company.

Applicant must be based in the UK. Experience within a hotel, or venue sales environment is required.
