Executive Assistant to the Managing Director

Saint Cecilia's Care Group is seeking an organised, professional and proactive Executive Assistant to support the Managing Director.

This is a trusted and highly visible role providing executive support across a growing group of care, specialist care and property businesses. Working directly with senior leadership, you will help coordinate key business priorities, manage governance processes, support strategic projects and ensure that important actions are completed.

The successful candidate will attend Board Meetings, Executive Team Meetings and other senior leadership forums, helping to prepare agendas, coordinate meeting papers, take accurate minutes and maintain action trackers. You will act as a central point of coordination between directors, managers, head office teams and external stakeholders.

This is an excellent opportunity for an experienced Executive Assistant, Personal Assistant, Office Manager or senior administrator who enjoys variety, responsibility and being at the centre of a busy organisation.

Key Responsibilities

Executive Support

  • Managing diaries, appointments and meeting schedules for the Managing Director and Chairman.
  • Coordinating internal and external meetings.
  • Managing correspondence and communications on behalf of senior leaders.
  • Preparing reports, presentations, briefing documents and professional correspondence.
  • Organising travel, visits and executive commitments.
  • Handling highly confidential information with discretion and professionalism.
  • Monitoring key priorities and ensuring agreed actions remain on track.
  • Supporting the day-to-day effectiveness of the Managing Director and Chairman.

Board Meetings & Governance

  • Organising Board Meetings, Executive Team Meetings and Leadership Forums.
  • Preparing and distributing agendas, board packs and supporting documents.
  • Attending meetings and producing accurate, professional minutes.
  • Maintaining action logs and ensuring actions are followed through to completion.
  • Liaising with contributors to ensure reports and meeting papers are available on time.
  • Supporting governance and compliance processes across the organisation.
  • Maintaining corporate and governance records.

Business & Project Support

  • Assisting with strategic and operational projects across Saint Cecilia's Care Group and associated businesses.
  • Coordinating information from different departments and locations.
  • Producing management reports, summaries and presentations.
  • Supporting business improvement initiatives and organisational change projects.
  • Undertaking research and gathering information to support decision-making.
  • Assisting with events, meetings and leadership activities.

Administration & Coordination

  • Acting as a key point of contact for managers and external stakeholders.
  • Liaising with care home managers, head office teams and suppliers.
  • Drafting letters, reports and professional communications.
  • Maintaining accurate records and filing systems.
  • Supporting wider business administration activities as required.

About You

We are looking for someone who is:

  • Highly organised with exceptional attention to detail.
  • Professional, discreet and trustworthy.
  • A confident communicator with excellent written and verbal skills.
  • Able to work independently and manage competing priorities.
  • Comfortable working directly with directors and senior leaders.
  • Experienced in preparing meeting papers and taking accurate minutes.
  • Proactive and able to use their initiative.
  • Calm and dependable in a busy environment.
  • Skilled at building positive working relationships across all levels of the organisation.
  • Highly computer literate and confident using a wide range of software applications.
  • Quick to learn new systems, technology and ways of working.
  • Comfortable working across multiple digital platforms and business systems.
  • Strong in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams.
  • Enthusiastic about technology and able to quickly adapt as new systems are introduced.

Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Governance Administrator or Senior Administrator would be advantageous.

What We Offer

  • Salary of £22,400 per annum, based on a £28,000 full-time equivalent salary.
  • Part-time hours, 30 hours Monday to Friday, 9.30am to 4.00pm.
