We are looking for a Data Quality Administrator to join our team. Full time or part time. The role is as part of the data quality team working with and supporting the Data Managers. St Austell Healthcare is a paper-light environment, and all internal and external patient correspondence is stored within the correct patients electronic medical record on the practice clinical system, SystmOne. It is important that documents are easily located by all clinical and non-clinical staff.

Main duties of the job

The main elements of the role are:

  • Processing all incoming correspondence (paper and electronic);
  • Read coding critical elements of the information;
  • Summarising Medical Records for newly registered patients;
  • Support the data quality managers with the management of patients with long term conditions recalling them for annual reviews and taking responsibility for certain groups/cohorts of patients as experience in the work grows.

Duties and Responsibilities

The duties and responsibilities to be undertaken may include any of the items in the following list. Duties may be varied from time to time under the direction of the Team Lead, dependent on current & evolving practice workload and staffing levels. This role will be supported by other team members.

  • Data processing: Sort and date stamp all incoming patient related mail
  • Scan patient related documents onto their electronic medical record within 24 hours, and retain original for 1 month.
  • Access all letters received electronically/via post and action as appropriate
  • Add any additional information about the source of the document
  • Forward letters for coding or action to the appropriate teams or individuals
  • Update patients Summary Care Records and resolve any consent conflicts
  • Check GMS1s for care homes and veterans. Also check the details have been entered correctly and the patient is registered at the correct site with a corresponding usual GP.
  • Scan and code new patient questionnaires and send alcohol audit questionnaires if required.
  • Send letters to known Carers who are our patients, and action as appropriate
  • Code deceased patients, inform all staff at SAHC & data quality at RCH Treliske
  • Inform home oxygen, Macmillan and District Nurses if any of their patients have passed away
  • Code newly pregnant patients and send them the information to self-refer to the midwives
  • Data quality searches to ensure accurate registration data (eg titles and correct phone numbers), and update these as needed.

Summarising Records:

Following training the post holder will summarise incoming medical records onto SystmOne for newly registered patients following protocols that are in place.

Read coding:

Following training the post holder will be able to read code patient correspondence highlighting the key points for both clinical and non-clinical staff to assess in future.

Management of patients with Long Term Conditions:

Support and deputise for the Data Quality Managers in managing and recalling specific cohorts of patients for regular reviews: Patients on disease registers in line with QOF requirements.

Person Specification

Qualifications

  • Educated to GCSE grade C and above in Maths and English or equivalent or substantial experience in similar role will be considered
  • NVQ II in customer care
  • AMSPAR certificate
  • CLAIT certificate

Experience

  • Experience of working in a busy environment
  • Knowledge of medical terminology
  • Awareness of confidentiality and data protection when handling sensitive information
  • Previous experience within general practice
  • Knowledge of Data Protection Act and how this is applied in General Practice
  • Experience of using SystmOne computer system
  • Awareness of the importance of safeguarding and procedures
  • Read coding experience
  • Summarising of Medical Notes
  • Previous experience of working in a pressured environment
  • Document scanning
