About the Role
We are seeking a proactive and organised Facilities Management Assistant to support the day-to-day management of our facilities and ensure a safe, clean, and efficient working environment. This role is ideal for someone with excellent organisational skills, strong attention to detail, and a customer-focused approach. Working as part of a team and on your own initiative, you will work to provide an excellent level of customer service for all SSE colleagues and visitors and assist in all aspects of delivering high quality FM services. The role may involve occasional travel to support FM teams on other sites.
You will:
- Be responsible for reception duties to include greeting visitors, issuing visitor access passes & keys, and processing deliveries.
- Coordinate the daily operation and maintenance of buildings and facilities.
- Schedule and oversee planned preventative maintenance (PPM) and reactive repairs.
- Liaise with contractors and service providers to ensure work is completed to agreed standards and monitor facilities-related service contracts and supplier performance.
- Conduct routine inspections to identify maintenance, safety, and compliance issues.
- Support health and safety compliance, including risk assessments, fire safety checks, and reporting.
- Manage workspace setup and meeting room facilities, including meeting room bookings.
- Maintain accurate records of maintenance activities and compliance documentation.
- Respond promptly to facilities requests and resolve issues efficiently.
- Assist with purchase orders and invoice processing.
You will have:
- Ability to build good relationships and communicate with stakeholders at all levels.
- Ability to follow instructions and give updates effectively.
- Proficiency in Microsoft Office and facilities management software (desirable).
- Ability to prioritise workloads and work independently.
- A flexible, hands‑on approach with strong problem‑solving skills.
- Excellent organisational and time management skills.
