THE ROLE

We are looking for an organised and collaborative individual who enjoys supporting an efficient workplace environment.

As Office Administrator this role will support the smooth day-to-day running of our London office, ensuring employees, clients, and visitors receive an exceptional experience.

This varied role combines office administration, facilities coordination, and Health & Safety responsibilities, making it ideal for someone who enjoys managing multiple priorities and building strong relationships with colleagues and suppliers.

Working as part of a collaborative team, you will play a key role in maintaining a well-organised, compliant, and welcoming office environment while supporting the wider business with a range of administrative and operational tasks.

KEY RESPONSIBILITIES

  • Manage office supplies and facilities requirements, including the ordering and replenishment of refreshments, stationery, printer consumables and other workplace essentials.
  • Coordinate regular food and beverage provisions, including milk, fruit deliveries, and catering arrangements for meetings and events.
  • Maintain relationships with external suppliers and service providers, ensuring cost-effective procurement and timely delivery of goods and services.
  • Oversee office waste management and recycling processes, liaising with local authorities and suppliers to support sustainability initiatives.
  • Support the effective maintenance and operation of office equipment, including printers, toner supplies, and waste collection.
  • Develop and maintain knowledge of Health & Safety legislation and best practices, supporting a safe and compliant working environment.
  • Coordinate statutory and planned maintenance activities, including PAT testing, emergency lighting inspections, air conditioning servicing, and other facilities-related requirements.
  • Assist in managing Health & Safety compliance activities, including fire risk assessments, fixed wiring inspections, accident reporting, and employee safety training.
  • Liaise with cleaning contractors and building management teams to ensure the office environment is maintained to a high standard and issues are resolved promptly.
  • Coordinate office repairs, furniture assembly, and general workplace improvements through approved contractors and suppliers.
  • Process and distribute supplier invoices, ensuring accurate and timely submission to the Accounts Payable team.
  • Prepare and submit monthly expense documentation, including company credit card statements and supporting invoices.
  • Conduct routine workplace safety checks, including monitoring first aid equipment and emergency medical supplies to ensure compliance and readiness.
  • Provide professional reception support when required, acting as a welcoming first point of contact for visitors, clients, and colleagues.
  • Assist with incoming and outgoing post, courier services, and general office administration duties.
  • Coordinate workstation setup and onboarding arrangements for new employees, ensuring desks, equipment, and office resources are fully prepared prior to their start date.
  • Maintain accurate workplace records, including accident logs and Health & Safety documentation.
  • Act as a designated Fire Warden and First Aider, supporting emergency procedures and employee wellbeing initiatives.
  • Contribute to the continuous improvement of office administration processes, workplace standards, and employee experience.

QUALIFICATIONS AND EXPERIENCE

  • Some previous office administration, reception or customer service experience would be beneficial but is not essential
  • Comfortable using Microsoft Office applications and learning new systems
  • Well organised, with excellent attention to detail and a willingness to learn and develop within the role
