We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist Directors and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, order processing, general administrative tasks and generally being a helpful and positive presence in the workplace.
To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.
Key Responsibilities- Act as the point of contact for internal and external clients
- Screening phone calls and routing callers to the appropriate party
- Providing real-time scheduling support by booking appointments and preventing conflicts
- Responding to questions and requests for information
- Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
- Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research
- Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
- Updating and maintaining records, both on paper and digitally
- Generating orders on the system & ordering of equipment as per sales orders
- Greet clients and make them feel comfortable, both in person and over the phone
- Write and distribute email, correspondence memos, letters and forms
- Maintain polite and professional communication via phone and e-mail
- Being part of projects and ensuring clear communication is made
- Anticipate the needs of others in order to ensure their seamless and positive experience
- Update and maintain office policies and procedures
- Provide recommendations according to customer needs or preferences
- Educated to GCSE level. Must have 5 GCSE A*-C / 9-4 or equivalent level including Maths and English
- Educated to college level (A Level or BTEC) in administration or equivalent
- Proof you can work in the UK
- Minimum 3-5 years prior administrative experience
