Overall purpose of the job

The Payroll Assistant main responsibilities are to assist with the administration and processing of the weekly and monthly payrolls for over 500 employees across the different areas of the business. This also involves processing salary for PAYE employees and workers engaged on a subcontracting basis.

Key Responsibilities

  • Enter accurately all entries onto the database on a daily basis using relevant T&A reporting system or manual timesheets.
  • Take relevant action with all paperwork received into Payroll requesting payments ensuring this has been properly authorised.
  • Update T&A & Payroll system, with amended information.
  • Set up new Starters and Leavers on the relevant payroll and T&A systems.
  • Record daily company sickness reported.
  • Record & manage holiday forms on the relevant sheet and T&A systems.
  • Send daily / monthly attendance reports to each department / function.
  • Process weekly timesheets
  • Process Expenses & Deductions weekly
  • Process reports from payroll and our other systems when required.
  • Prepare The Guild Subcontractors invoices & Expenses weekly or monthly.
  • Answer pays queries via phone, email etc.
  • Process subcontractor’s invoices on the relevant Sage & Construst systems
  • Complete and reply to correspondence and phone calls as and when required.
  • Process & Prepare pension reports for B&CE & Scottish Widows.

Principal Skills & Attributes Required

  • Proven Payroll experience gained within a fast-paced environment in Retail, Leisure, or Hospitality advantageous.
  • Ability and confidence to build relationships across all levels of the business and remain confidential.
  • Maintain a professional, courteous, and friendly manner at all times.
  • Excellent telephone manner and verbal and written communication and strong numerical skills
  • Excellent IT skills, including Microsoft Office
  • Excellent organisation, prioritisation, and administration skills with a focus on attention to detail
  • Works well under pressure with common sense approach.
  • Self-driven and motivated with the ability to use own initiative.
  • Ability to work in a team as well as an individual
  • Good time management skills
