Job Purpose: The Transition Ambassador plays a pivotal role in ensuring a smooth and successful transition to new digital technologies within a high-profile client environment. Acting as a trusted point of contact, this individual will support employees in adapting to change, build confidence in new systems, and promote a positive workplace experience during times of transformation. This is a highly visible, people-centric role that combines hands-on technology enablement with traditional mailroom and workplace support responsibilities. Approximately 70% of the role will focus on supporting the technology transition, while the remaining 30% will involve contributing to day-to-day mailroom operations, including manual handling.

Duties and Responsibilities:

  • Technology Transition & Employee Engagement
  • Serve as the on-site face of the technology change programme, offering immediate, hands-on assistance to employees.
  • Conduct engaging workshops, drop-in sessions, and one-to-one coaching to boost user confidence and adoption.
  • Build strong working relationships with key stakeholders and service users across business units to enable a ‘train-the-trainer’ culture.
  • Act as a liaison between employees, technology teams, and leadership to capture feedback and ensure continuous improvement.
  • Promote a positive, open attitude toward change, supporting cultural and behavioural shifts in the workplace.
  • Provide and promote access to user guides, video tutorials, and other support resources.
  • Attend professional forums and internal meetings to bring industry best practices into the transition process.
  • Workplace & Mailroom Support
    • Assist with incoming and outgoing mail, courier bookings, and deliveries.
    • Maintain filing systems and process archive files using onsite systems.
    • Ensure supplies are stocked and that the office environment is welcoming and efficient.
    • Flexibly respond to additional client requests and operational needs as required.

    Person specification: The successful candidate will have the following skills/competencies:

    • Essential:
    • Strong interpersonal skills with the ability to build trust and rapport at all levels.
    • Confident communicator, able to deliver engaging sessions and provide calm, clear support.
    • Previous experience in a customer-facing, change support, or hospitality environment.
    • High level of adaptability and comfort working in a fast-paced, changing environment.
    • Basic understanding of mailroom operations and corporate workplace services.
    • Intermediate IT skills (e.g., MS Office, web-based platforms, internal systems).
    • Ability to remain professional and composed under pressure, with strong problem-solving skills.
    • Self-starter with excellent organisational and time management skills.
  • Desirable:
    • Experience supporting technology rollouts or organisational change programmes.
    • Familiarity with change management principles or employee engagement techniques.
    • Previous experience in a similar Transition or Brand Ambassador role.
